To support the Contract Manager in the delivery of Soft Services for the PFI contract. The core elements of this role will be to undertake the day-to-day management of the relevant sub-contractors, delivery of FM services and ensuring compliance with the contract.

And as a Soft Services Manager with Bellrock you’ll do it by…
Management of sub-contractors
- Monitor the performance of the sub-contractors against the contract KPI’s, agree any action plans to resolve any service issue.
- Hold Monthly Assessment Contractor Meetings with each contractor.
- Ensure contractors issue accurate monthly reports within 5 working days of the end of the month.
- Manage day to day operational issues.
- Audit contractors to ensure compliance with the contract and legislation.
- Agree service improvements/innovations for implementation

Line Management Responsibility*
- Provide line management for Facilities Co-ordinator and Finance Assistant
- Undertake annual appraisal
- Responsible for ensuring for addressing any HR issues such as disciplinary, sickness management and performance appraisals. Escalating any issues as appropriate.

Client Management*
- Support the Contract Manager in the delivery of Soft Services PFI Contract and attend all meetings in their absence
- Attend meetings with EP and GPA as detailed within the agreed schedule, including but not limited to the monthly client meetings and Sub-contractor meetings.
- Provide management reports.
- Ensure minutes are issued within agreed timescales

Contract Performance*
- Provide accurate management reports on any/ all elements of the contract as requested by the Managing Director.
- Support Helpdesk Manager duties during absence
- Overseeing the delivery of Events Management via the Facilities Co-ordinator
- Ensuring the Senior Fire Marshall duties are covered between the Facilities Co-ordinator and the Finance Administrator.

Finance*
- Ensure variations are raised correctly by the Commercial Co-ordinator, signed by all relevant parties and invoiced accordingly
- Maintain the financial integrity of the contracts by monitoring sub-contractor invoices
- Issue correct instructions regarding Purchase Orders and Invoices to Commercial Co-ordinator
- Responsibility for the successful performance of the contract against the agreed budget.
- Ensure that opportunities for additional income are identified and followed up.
- Ensure variations are raised correctly by the Facilities Co-ordinator, signed by all relevant parties and invoiced accordingly
- Ensure that any issues in regard to invoicing and purchase orders are resolved in a timely manner.

Compliance*
- Ensuring compliance with all relevant legislation
- Reporting all accidents and incidents via the relevant reporting procedures. Ensuring all incidents are investigated appropriately and any necessary actions taken.
- Compile and complete audits in line with agreed schedule. Ensuring all non-conformances are actioned and closed as appropriate
Measurable
- Attend any meetings as required
- Deputise for Contract Manager when required

Environmental Management System*
Responsible for the successful delivery and maintenance of the Environmental Management System (EMS) in order to maintain ISO14001 Certification

Working arrangements
