We are seeking an Client Intake Coordinator to play a key role in liaising with new clients as the first point of contact. The ideal candidate is someone who thrives on having challenging and rewarding work in a fast-paced environment, has a strong attention to detail, excellent interpersonal skills, and is seeking an opportunity to begin a career with excellent opportunity for growth and advancement.
The Client Intake Coordinator will be reporting to a Partner as well as other Associate Lawyers at the firm.
Responsibilities:
Client Communication
- Acting as the first point of contact for new clients, coordinating the various steps of the intake process
- Corresponding with new clients via e-mail and over the phone to gather required documents and information, and filing in accordance with established filing procedures
- Scheduling initial intake meetings with lawyers to assess client needs
- Following up with clients to collect necessary paperwork, documentation and information as required
- Responding to client inquiries and requests over the phone and via e-mail
- Providing an overall exceptional customer service experience, focusing on meeting and exceeding client expectations
Administration
- Setting up and maintaining new client files in the firm’s database system
- Preparing client information for preliminary assessment by lawyers
- Drafting retainer agreements
- Managing multiple calendars through Outlook
- Managing incoming correspondence from various provincial and federal government bodies
- Providing full scope of administrative support to lawyers and Immigration Case Analysts as needed

- Excellent interpersonal and communication skills
- Strong attention to detail and organizational abilities
- Strong writing skills
- Ability to work in a fast-paced environment and manage multiple matters simultaneously

- Experience in an administrative role an asset
