Sarum Academy is a Voluntary Controlled Church of England Academy founded in 2010 delivering high quality, non-selective, personalised education to students aged 11-19 years.

Learning Partnership Academy Trust. Sarum Academy students make progress above the national average and the Academy secured another Good Ofsted judgement in February

2023.

Job Description

Student Services administrator with responsibility

for Admissions and Transition

Salary Range: Grade G

37 hours per week –Term Time & 1 week only

Responsible to: Operations Manager

Core Purpose:

The post holder will join the administrative team which has responsibility for a wide range of tasks in support of the school‘s administrative functions and interface with the students, parents and the public.

The Admissions and Transition Lead will take responsibility for the full admissions process for the School (Years 7-11) while also providing administrative and practical support for all of the Transition work.

To provide a responsive and efficient admissions service to prospective students, ensuring that all applicants receive comprehensive, impartial and family-centred initial information and advice.

Key Accountabilities: Administration

  • Undertake duties to support the range of work undertaken by the administrative team. This includes reception, telephone switchboard duties, reprographics and student service activities.
  • Act as one of the key points of contact for student welfare.
  • Produce high quality communications to parents, staff and the community through the effective use of ICT.
  • Input into designated information management systems (SIMs), use, download and distribute associated output as required.
  • Prepare large scale distribution of letters and papers to the parent community.
  • Assemble administrative information for the teaching and curriculum support staff.
  • Act as a First Aider (Training will be provided)
  • Participate in training for the range of work undertaken by the administrative team.

Key Accountabilities – Admissions:

  • Manage all applications as received for entry to the School during the academic year including managed moves
  • Maintain accurate databases
  • Manage initial enquiries to the school and arrange visits and tours with the Headteacher
  • Conduct tours of the School when appropriate
  • Actively pursue enquiries by engaging in discussions with prospective parents
  • Communicate well with staff in the school regarding admissions, especially the pastoral team
  • Send out prospective parent communications
  • Collate and acknowledge acceptances for all year groups
  • Provide termly admissions data reporting on actual and predicted student numbers as required
  • Ensure new student details are entered onto SIMS (the School’s software database) and required information regarding timetables and options is made available
  • Ensure any leavers are recorded as such on SIMS, including reasons for leaving, and inform relevant parties of all leavers
  • Collate and update all information required for new starters and provide point of contact for new students up to them entering the School.

Key Accountabilities – Year 7 Transition:

  • To visit prospective students at school – independently or jointly with SEN team to assess need and build positive relationships with both schools and children
  • To work with the Headteacher and SLT Lead for transition to plan visits and welcome activities
  • To carry out school transition meetings for those students who have accepted places
  • To ensure all students receive accurate, accessible information regarding their first day, before the beginning of term
  • To act as a point of liaison for schools and families during their child’s transition into school
  • To monitor the transition and wellbeing of complex students in the first 6 weeks and flag any concerns to the Head of Year or Leadership Team
  • To co-ordinate primary taster days

Other responsibilities:

  • Act at all times as an ambassador for the Academy in a manner which upholds its Christian values and ethos and to model behaviour consistent with the Academy’s standards and aspirations.
  • Take an active role in the Academy’s pastoral care of students and fulfil a pastoral and mentoring role when required.
  • Foster good relationships with parents and the wider community.
  • Have an agreed flexible working pattern to ensure that all relevant functions, including extra-curricular activities, are fulfilled.
  • Demonstrate a commitment to personal professional development.
  • Be subject to performance objectives agreed annually and will be responsible for providing evidence of progress for key accountabilities.
  • Carry out such other duties as may reasonably be assigned by the Headteacher.
  • Recognise that duties of a post may vary from time to time without changing the general character of the post or level of responsibility entailed.

References from current employers will be taken up for shortlisted candidates, and where necessary employers may be contacted to gather further information.

Probation

All support staff will be subject to a probation period of four months which may, in certain circumstances, be extended by up to 10 weeks. The probation period is a trial period, to enable the assessment of an employee’s suitability for the job for which they have been employed. It provides the academy with the opportunity to monitor and review the performance of new support staff in relation to various areas, but also in terms of their commitment to safeguarding and relationships.
