Job description
This is a key and highly valued role in the Volunteering and Community Services (V&CS) team. The post holder will be required to provide administrative support to the Volunteering and Community Services department.
The post holder will have responsibility for updating and maintaining databases, supporting the Senior Administrator for Volunteering & Community Services (V&CS) and wider V&CS team. They will be required to maintain good public relations with all Responders and Volunteers and maintain equipment stock levels by placing orders in a timely fashion and recording stock levels accurately.
This role is responsible for completing and co-ordinating a variety of tasks and requires excellent organisational skills with the ability to multi-task.
- Be the first point of contact for all enquiries to the Volunteering & Community Services department.
- Maintain good public relations with all Responders and Volunteers, internal and external agencies. Dealing with telephone calls to the department in a courteous and positive telephone manner. Take confidential/non-confidential messages accurately and forward these quickly and efficiently.
- Maintain and keep up-to-date the computerised Volunteer & Community Services and Defibrillator databases and the electronic based Personal Files and Training Files.
- Ensure that all the governance requirements have been met prior to Responders commencing their role.
- Maintain a database of all Responders who cease to respond for the Trust.
- Liaise with the Responder Officers across the Trust issuing and auditing protocols and procedures in order to ensure they all work in a standardised manner.
- Undertake clerical duties that involve; Photocopying, Data entry, filing, laminating, printing and shredding of confidential information.
- Ordering and maintaining stock levels, for the department, ensuring the department operates efficiently. Post holder will use Oracle for ordering and receipting.
- When estate and/or vehicle faults are raised or identified ensure that these are passed to the correct departments to be acted on promptly.
- Assist with any ad-hoc project work that arises to support the Senior Community Responder Administrator and Head of Volunteering & Community Services
