Role Purpose:
Taking calls from members of the public about highways issues. Providing a professional, efficient service with advice, guidance and logging requests in a timely manner. Providing administration services effectively & efficiently to support the department and contract.
FTC: 18 months.
What you'll be doing
- Provide callers with a excellent service, manage expectations, answer queries & provide information
- Ensure phones are always manned, providing a responsive service for all requests, offering information in a variety of methods, where possible providing a right first-time approach
- Ensure all requests for service are logged accurately and timely into our Confirm system and allocated
to the appropriate individual - Develop solutions to the customer/client issues in a proactive manner, sign posting where required.
- Deal with all written based customer requests via our email/confirm channels in a timely manner logging into our Confirm system or redirecting/signposting.
Timely processing of business-critical data: -
- Waste Tickets/Trade Bags/Stock Sheets/Incoming and outgoing post/Purchase card Payments/Purchase Requisitions/Mi Vision/Newsquest Coordination & Payment
Burials/Work Info and Web Reports - Diary management for meeting and training room bookings, travel and accommodation etc
- Maintaining appropriate supplies e.g. stationery, milk, tea, coffee etc.
- Filing, photocopying, archiving and binding as and when required
- Carry out daily departmental/office checks
- Undertake any administrative task to support the overall contract as and when required
Who we're looking for
You will have the following:
- Works well as part of a team and as an individual using own initiative
- Able to prioritize and manage own time effectively and work well under pressure
- Responsive to customer requirements with a positive can-do attitude, flexible to business needs
- Excellent communication skills both oral and written
- Proactive and has ability to make decisions
- Professional appearance adhering to company dress code
- Proactively builds knowledge through sharing knowledge, ideas and expertise with others.
- Good academic standard to include A-C in English and Math’s or equivalent
- Customer Service and Administration Experience
- Experience of Windows and MS Office to include Word, Outlook and Excel
- Experience of working with databases/data entry skills
- Demonstrable experience of working with ERP Systems or databases.
