Role Purpose
To provide highly efficient personal assistance to the Head of UK Development and Residential Capital markets. Also supporting two Senior Directors and from time to time they may be required to assist other members of the sector and wider department.
This is an excellent opportunity for someone who is looking for a role which extends beyond the usual boundaries set for a Senior PA and allows additional scope to develop and become involved with the business.
Key Responsibilities
- An understanding of the team’s priorities including extensive diary management. This involves organising travel (including itineraries), client and internal meetings, lunches and dinners.
- Organisation of internal and external events including client entertaining and network events.
- Effective “gate keeping”: managing all incoming communication (including phone calls, voicemail and e-mail), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner.
- Creation of PowerPoint presentations and assist on pitch presentation - PowerPoint ability should be at a high standard.
- Manage the fee forecasting and review the billings report for the team
- An ability to prepare Microsoft Word reports
- Maintaining a meticulous online filing system for all current developments which adheres to CBRE standards of compliance (this includes preparation for external audits)
- Using Peoplesoft (CBRE’s finance system) to raise invoices, register new projects and raise expense claims
- Carry out Anti-money laundering checks for new clients with the help of the compliance team
- Preparation of outgoing correspondence and various other documents (including mailshots).
- Typing, amending, formatting and binding reports.
- Collation and distribution of external client publications using a tailored marketing programme.
- Full management of filing/e-filing.
- Internal systems – checking and approving invoices on behalf of the MD
- Meet and greet clients, including booking meeting rooms, equipment and organising refreshments as necessary.
- Communicate with the team, ensuring a high level of awareness of current priorities and whereabouts.
- Travel and expense management.
- Providing support to other PA’s in the department – training new starters and assisting with holiday cover
- Attend Development board meetings to take and type up minutes
- Some assistance on a personal basis will also be required.

- Confident communicator
- Good writing skills
- Good IT skills (Word, Excel, MS Outlook and Power Point).
- Salesforce experience desirable
- Can be trusted to be discrete with confidential information relating to both projects and the team members
- Minimum typing speed of 50 wpm
