THE ROLE
The Claims department comprises of over 80 fee earners in three offices (Wimbledon, Leeds and Birmingham). The firm has been a member of NHS Resolution's panel of lawyers since its inception and, in addition to clinical negligence work, the department carries out a wide range of other work which includes advising on regulatory matters, public law issues, judicial reviews, mental health issues and clinical risk management. Further details on the partners in the department and the type of work carried out can be found on our website at www.capsticks.com The Claims team is looking for a Legal Administrator to be based in our London office.
The role will involve helping with:
- Arranging conference calls, meetings, travel and booking conference rooms;
- Arranging conferences with counsel and experts and updating fee earners with progress
- Coordinating photocopying, printing, scanning, organising couriers, sending out of letters, faxes etc with Floor support;
- Service of prepared documents to Claimant Solicitors and Court and understanding importance of deadlines
- Checking client's extranet portal and screenshotting details;
- Completing redactions and extractions;
- Opening and closing of files, including conflict checking, setting up contacts, running initial schedules, electronic filing, record keeping and archiving of files;
- Acting as a point of contact for internal and external clients;
- Taking internal and external telephone queries, responding as appropriate and/or ensuring that all messages are passed on in a timely manner;
- Data entry and managing spreadsheets; Updating Interaction/other databases
- Drafting general and basic correspondence as required.
- Formatting/collating work to be sent to clients (non-Partner fee earners)
- Managing archive files in/out, uploading docs to Visual Files (VF)
- Courier booking and processing outgoing post and managing special deliveries
- E-filing and client care letters
- Billing/managing disbursements - processing invoices and checking and liaising appropriately with Finance
- Fee earner expenses, non Partner travel and restaurant booking
- Searching for documents on Mimecast
- Support seminar/event organisation
- Preparing team sheets
- Non Partner diary management
- Delegating to appropriate resources within the firm
We are looking for someone who has:
- Knowledge of Microsoft Word, Excel and PDF software
- Experience of using a case management system
- Good phone manner
- Highly organised and proactive
