Role Summary
Aubay UK is seeking for an experienced Senior Information Management Advisor to be responsible for the delivery of integrated solutions that addresses needs to share information and collaborate using a our client's internal standard information management and collaboration platform (SharePoint). This role will be part of the Global Functions (GF) program that will play an important part in providing consultancy and support to the program and business.
Role Responsibilities
- Lead the GF BA’s providing guidance and directions on processes and standards.
- Represent the program on line of business calls and meetings as required.
- Lead data analysis on different data repositories before migrating them to SharePoint to ensure that valuable information only resides on SharePoint.
- Assist the business in Information Management best practices including SharePoint Online Shared Drive and OneDrive for Business Configuration.
- Collaborate with functional authorities, IM Business Analysts, and QA to identify and remediate quality issues.
- Work with a wider team.
- Support project manager in preparing work plans, risk & issues management.
- Responsible for defining the overall Business Analysis Strategy and defining required activities to add to the overall GF Shared Drives Remediation Plan.
- Provides steer and coordination to the GF pool of BAs with the aim of ensuring alignment in approach across GF line of business.
- Participate in technical discussions with the central team and Design Authority when required.
- Act as a technical focal point for the whole of GF project team in Shared Drive remediation work.
- Manage, refine and priorities backlogs.
Business Analysis
- Analyze business requirements and translate them into activities that can be executed by the IM services team.
- Liaise between the business and the IM services team to ensure the successful delivery of SharePoint projects.
Information Process Improvement
- Promote the use of advanced SharePoint features to unlock the value of data stored in it and encourage collaboration between teams.
Consultancy
- Provide well-informed advice on the optimal way to design SharePoint sites and collaboration portals to ensure smooth flow of information and a seamless way for sharing and managing information based on business processes and ways of working.
Knowledge Management
- Capture best practices, lessons learned and solutions to common issues and share them with SharePoint communities and users.
- Participate in SharePoint SME network for collaboration and sharing of knowledge.
Required Skills & Qualifications
- A degree in Management Information System (MIS) or Computer Science or any business course.
- Experience of leading teams.
- Knowledge of Business Analysis techniques.
- Experience in Information Management discipline.
- Understanding of IM controls and compliance.
- Experience with oil & gas industry or knowledge of the oil & gas business.
- Understanding of SharePoint capabilities, features, and limitations. Ability to translate business information management and collaboration requirements into solutions that can be developed on SharePoint.
- Experience in metadata structuring and taxonomy.
- Knowledge of, and experience in the use of different electronic document management systems.
- Knowledge of Information Management Policy and Processes.
- Knowledge of Record Management Policy and Processes (i.e., Work Group Type Solutions, File plans, Record Types).
- Knowledge of various country regulatory requirements, Trade Controls, Privacy and Legal Controls.
- Experience in business analysis, in particular Business Requirements Definition and Management processes.
- Strong communication (oral and written) and stakeholder engagement skills.
- Ability to work with and influence a broad community of people from a variety of disciplines and varying levels of IM skills.
Required Technical Skills
- Extensive Microsoft 365 expertise including but not limited to:, SharePoint Online, Power Automate, Power Apps, Power BI, Forms, Information Management
- Microsoft Excel – including VBA and complex vLookups
- Azure platform services
- SQL (basic & advanced)
