Wood is recruiting for an Senior Document Controller to join its Consulting team focusing on delivering information and data improvement and management projects for large-scale clients.
This role will be a hybrid of remote working and working in the client offices in London.

The Role
As delegated by the Document Control Lead (or Information Management and Document Control Manager), ensures the quality and co-ordination of all work processes followed by the Document Control department. Responsible for the management of data and documentation on behalf of Wood Group clients, in accordance with contractual arrangements. Responsible for the management of data and documentation supplied to Wood Group by clients in order that Wood Group have the information necessary to complete projects awarded to Wood Group under contract. Responsible for the ongoing storage of internal company documentation, including Business Management System related records.

Typical responsibilities
As delegated by the Document Control Lead, supervises activities in the Document Control Department. Immediate subordinates are Document Controllers and Assistant Document Controllers- Ensures work is carried out in accordance with client and/or company standards and specifications
- Ensures the quality of all work carried out under their jurisdiction
- Co-ordinates the work of other members of the Document Control as required and is responsible for the quality control and management of all work processes involved in the production of work allocated to them by the Document Control Lead
- Prioritises their own workload and delegates tasks to others
- Establishes clear file structures and manages electronic files, ensuring an auditable, electronic trail for all work undertaken
- Monitors and reports job/work status and workloads to the Document Control Lead, with any appropriate recommendations
- Ensures that where contractual arrangements exist, work is carried out in accordance with contract procedures
- Contributes to the development and management of department work practices, for example in-house and client documentation specifications, preferred terms etc
- Where nominated, carries out the role of Job Controller or Job Co-ordinator in accordance with the PS Job Control Procedure
- Assists in the maintenance of controlled, uncontrolled documentation and data, including document management files and work generated either internally by Wood Group, or externally by clients and held within the DCC
- Populates client EDMS
- Maintains work flow of documents through use of companies EDMS system
- Assists in the maintenance of controlled, uncontrolled documentation and data
- Receives and registers incoming data/documentation and associated work as allocated
- Receives and distributes documents and amendments to documentation held by clients and DCC controlled copies
- Ensures transmittal and receipt of draft documents in line with company procedures
- Maintains documentation records, databases and filing systems to provide accurate records of document status
- Initiates document reviews and chases up non-conformance of receipt of documents and amendments as per client document control standards and procedures
- Ensures client target dates are met
- Performs all necessary administration to ensure that the progress of items is tracked at all times and that an audit trail is maintained
- Coaches and mentors Document Control personnel as delegatedInformation and Documentation are receipted, tracked and transmitted in a timely manner
- Activities are completed in accordance with Company processes and procedures
Working Relationships
Internal:
- Maintains communication with Document Control lead
- Provides updates on workload to Document Control Lead and/or Project Managers as requested
- Highlights potential production problems in a timely and efficient manner
- Liaises with colleagues of all levels as dictated by the requirements of the individual projects
- Can work as part of a project-specific team, including liaising with and reporting to Senior and Project Managers within Wood Group
External:
- Communicates and co-operates with both internal and external stakeholders and subject matter experts
- Act as Wood Group's focal point and representative with external clients, providing advice and assistance with document control throughout the life of a project
Minimum Qualifications:
- Administration qualification preferable
- Higher general education
- RGU Document Control Foundation
Minimum Experience:
- Experience in an information and document handling environment involving library duties, database maintenance and issuing of documents.
- Project and Operations related document control experience

- Able to apply Document Control process and procedure in a practical context
- Experience of working to tight deadlines
- Knowledge of online documentation systems and structure
- Demonstrable job co-ordination and administration skills
