Key Responsibilities:
- Provide high-level administrative support to the service, our clients, and key stakeholders.
- Day to day supervision and support for other Business Support staff as appropriate.
- To provide efficient and effective business process & document production including complex minute taking and customer services support to internal and external customers.
- Provide effective financial monitoring and financial data reporting as required.
Requirements:
- 5 GCSE or equivalent (including 1 GCSE in English and Maths)
- Proven experience in a similar administrative role.
- Exceptional organizational and time management skills.
- Strong proficiency in Microsoft Office Suite and other relevant software.
- Excellent communication and interpersonal skills.
- Ability to work independently and handle confidential information with discretion.
- Strong problem-solving and decision-making abilities.
- Flexibility to adapt to changing priorities and deadlines.

2 x 37 hrs (2 FTE) per week - Senior Business Support Officer (Grade 4) - Minute Taker, Children’s Safeguarding Case Conference Team, Quality Assurance and Involvement Service (QAIS) based at Howden House.
1 x 16 hrs (0.4 FTE) per week - Senior Business Support Officer (Grade 4) - Minute Taker, Children’s Safeguarding Case Conference Team, Quality Assurance and Involvement Service (QAIS) based at Howden House.
Please Note: Hybrid (Both Home & Office location) working will be an expectation for this role.
Responsibilities include:
- Facilitating Child Protection conferences.
- Recording conference discussions.
- Producing a summary record of the meeting.
- Inputting information and statistics onto liquid logic and other databases.
- Distributing records to attendees.
The postholder’s main focus is to produce accurate and confidential child protection records in a timely manner. This post will regularly be involved in oral and written exchanges of complicated and sensitive information, therefore excellent literacy skills; good grammar and good punctuation are very important to the role.
Concentrated mental attention of over two hours when minute taking at child protection conferences is required. There are internal deadlines to meet and the postholder will need flexibility in order to deal with conflicting demands and interruptions. Work may involve distressing situations including written material that may be of a distressing nature and there is a need for some emotional resilience.
There are established procedures covering all the main activities and duties of the post but the postholder is expected to problem solve if necessary. Analytical skills are required to interpret information from a variety of sources. Strong IT skills and the ability to touch type would be beneficial. The post has a hybrid working approach with both a home & office working expectation and will include travel to other sites across city as required.
Unlike a majority of SBSO roles, this post currently does not supervise staff.
1 x 37 hours (1 FTE) per week - Senior Business Support Officer (Grade 4) – Leaving Care Service Team, based at Sharrow Community Hub, Old Sharrow Junior School.
Please Note: Due to ongoing service need, this team are currently full-time office based.
The Leaving Care Service supports Young People across the city aged between 18 & 25 years of age through their transistion of leaving the social care environment to live independently as a successful adult. The main focus for the team is to provide effective administrative duties for the Sheffield City Council Leaving Care Service wider team in a timely and accurate manner.
Responsibilities include (but not limited to):
- Processing financial transactions including paying suppliers for goods and services.
- Meeting support by producing complex minute or notes.
- Booking travel and hotel arrangements for individuals
- Managing incoming calls from clients, professionals, general public & other organisations, stakeholders.
- Processing physical & electronic correspondence effectively.
- Data inputting onto an internal case mangement system.
- Support with ad hoc tasks and requests from the wider team and management.

Strong IT, literacy and numeracy skills as well as good grammar and punctuation in both verbal and handwritten communications are vital to this role and the ability to touch type would be beneficial. The postholder will need flexibility in order to deal with conflicting demands and support requests.
