Job description
This is an opportunity for an experienced Executive Assistant to be responsible for the co-ordination of the Asset Management Administrative Assistants in London, to provide support, guidance, and be a voice across the population. This role will be in conjunction with core administrative assistant responsibilities. The individual will report into AM Finance & Business Management. This will also provide an opportunity for the successful candidate to develop their Business Management skills.
Job responsibilities:
- Manage admin coverage, including admin support ratios, temporary coverage needs, workload monitoring and rebalancing in partnership with admin managers, admins and the F&BM Team
- Manage recruitment process for any new admin roles
- Support, coach and motivate the AM admin population
- Maintain strong partnership with key stakeholders
- Partner closely with senior leaders in the business to gather any feedback and support administrative needs, including the execution and coordination of office management needs
- Act as an advocate for the administrative staff needs
- Drive talent and career management for the population
- Perform an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive, their team of managers, and other stakeholders
- Provide high-level administrative support by performing clerical functions such as;
- Preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings
- Gatekeeper of all contact with the public, clients and staff coming through the executive’s office
- Manage extensive and complex calendar for Senior Executive in a fast paced and dynamic environment
- Arrange and maintain travel plans and itineraries for both international and domestic travel
Required qualifications, capabilities, and skills:
- 5+ years of demonstrated related experience
- Prior experience in an Investment Banking or Financial Services organization is preferred
- Strong verbal and written communication skills
- Strong and independent problem-solving skills, a strategic mindset
- Customer Service / Client facing experience
- Excellent relationship building skills with the ability to listen well and influence others
- A self-starter who is organized and consistently meets deliverables
