OLD ADOBE UNION SCHOOL DISTRICT CLASSIFIED POSITION DESCRIPTION SCHOOL SECRETARY/HEALTH SERVICES CLERK Bilingual Preferred Secretarial Services/Health Services DEFINITION: Under general direction of the Office Manager to the Principal of the assigned school, performs a wide variety of responsible clerical/secretarial work; relieves the Principal and/or Office Manager of routine administrative and clerical detail; and does related work as assigned. Under the supervision of the site Principal and under the direction of the credentialed School Nurse, assists with record keeping; performs minor first aid as needed, and does related work as required. DISTINGUISHING CHARACTERISTICS: The School Secretary classification is distinguished from other classes in the Secretarial series in that incumbents are assigned to assist the Office Manager in various combinations of the School Secretarial duties. The Health Services Clerk is distinguished from other classes in the secretarial/clerical series in that incumbents are assigned to clerical work in the Health Office. Incumbents are required to have Red Cross First Aide Certificate training, including CPR. EXAMPLES OF DUTIES (School Secretary): Incumbents assigned to the School Secretary class are expected to assist the School Principal and Office Manager by performing any combination of the following duties: Interviews office visitors and telephone callers in a gracious and congenial manner and answers questions concerning the school’s courses, activities, or programs; refers persons to another source of information as needed or schedules an appointment with the School Principal; Maintains all student attendance records; prepares all daily and monthly attendance reports and truancy letters and reports as needed; Telephones and confers with parents regarding pupils’ absences and other matters of student welfare when necessary; Maintains all records for Independent Study Contracts; Assists in registering new students and maintains student records; Tracks all incoming and outgoing cum files; Assists in maintenance of current list of student transfer requests; Maintains cafeteria records including performing accounting duties for the cafeteria; counting and entering daily receipts from students and teachers, debiting daily all accounts for lunches eaten, making weekly deposits for the cafeteria and the snack accounts. Prepares weekly and monthly food service reports; Oversees the applications for Free/Reduced Hot Lunch Program: Qualifying, notifying parents of benefits, monthly report; Composes independently or from oral instructions letters requesting or giving information or dealing with routine matters; Assists the Office Manager in the following: Scheduling and coordinating school and community activities held at the school; receives, opens and routes mail; orders, receives, stores and distributes forms and supplies; maintains files and records for voluntary drivers; receives and accounts for funds for authorized fund-raisers, insurance, books, student class supplies and activities; gives clerical assistance to teachers on work requiring typing and the use of office machines. Administers minor first aid and medication to pupils in the absence of the School Nurse or Health Services Clerk; Operates office machines including personal computer/word processor, copy machines, adding machine, fax machine and telephone system. Performs other related work as assigned. EXAMPLES OF DUTIES (Health Services Clerk): Assesses immunization status of students and review individual records with parents; May assist District Nurse with required State reports; Reviews records for required physical examinations for first grade students; Screens all initial and incoming students’ health records; Alerts District Nurse of any significant student health conditions; Administers medication and minor first aid to pupils as needed; Assists with verification of selected pupil absences by telephone contacts with parents, where time permits; Makes up and distributes first aid kits to classrooms; May answer telephones; May assist school Nurse with correspondence; Performs other related work as assigned. MINIMUM REQUIREMENTS: Knowledge of: Office practices, procedures and equipment; Proper receptionist and telephone techniques; letter, report and memorandum writing; Use of correct English, spelling and arithmetic; Effective communication techniques; Computer skills; First Aid. Ability to (School Secretary): Work in a multi-task oriented office; Make public contacts, both by phone and in person, in a consistently gracious and congenial manner; Make minor decisions in accordance with school policies and apply these to problem situations; Work without close supervision; Perform responsible clerical work rapidly and accurately; Type 40 words per minute; Learn/operate personal computer and associated programs; Meet the physical requirements necessary to safely and effectively perform assigned duties; Maintain effective work relationships with those contacted in the performance of required duties; Learn and follow the practices, rules, and regulations of the District and the school to which assigned; Maintain the confidentiality of school related information. Ability to (Health Services Clerk): Keep accurate records; Follow oral and written instructions; Establish and maintain effective relationships with others; Operate standard office equipment; Ability to use word processing; Maintain medical confidentiality; Learn first aid procedures and CPR within first 90 days of employment; Meet the physical requirements necessary to safely and effectively perform assigned duties; Maintain effective work relationships with those contacted in the performance of required duties; Learn and follow the practices, rules, and regulations of the District and the school to which assigned; Maintain the confidentiality of school related information. EDUCATION: Graduation from the twelfth grade or the equivalent; Special training in first aid and CPR desirable. EXPERIENCE: One (1) year recent clerical/secretarial experience. One-year experience, paid or volunteer, working in an office, preferably in a health service environment desirable. CERTIFICATE: Possession of a standard Red Cross First Aid Certificate including CPR or completion within ninety (90) days from first date of employment. Must be CPR trained within ninety (90) days from the first day of employment. RESPONSIBLE TO: Office Manager, and/or School Principal, as assigned by School Principal.
