JOB TITLE: Facilities Manager/Caretaker
LOCATION: Windsor, Berkshire (and Kingsley, Hampshire)
REPORTING TO: Operations Director
FORMAT: Full time with 4 weeks holiday per year.
PURPOSE OF THE ROLE:
The facilities manager/caretaker role is to enable all our staff to deliver Outstanding education to our pupils by :
- Overseeing and maintaining property and facilities at The Green Room Foundation reporting to the Operations Director;
- Leading the other caretaker/s to ensure that all sites including the school buildings, facilities and grounds are maintained to the highest possible standard, are in a proper working order ensuring compliance with relevant Health, Safety & Welfare legislation ensuring to provide a safe working environment for all users of the facility;
- Being the lead contact for all site / facilities issues;
The role requires a wide range of responsibilities/skills including, building maintenance, minor repairs, animal care, gardening, vehicle management, cleaning and other elements which will ensure the school is maintained beautifully at all times.
MAIN DUTIES & RESPONSIBILITIES:
Combined with the caretaker role, to have overall responsibility for the smooth running of our sites to include:
- Opening and closing of sites
- Ensuring effective security
- Cleanliness, tidiness and excellent maintenance
- Maintenance and servicing/repairs of school vehicles
- Adherence to Health and Safety regulations
- Heating, lighting, fire safety systems
- Emergency call outs
Line management of caretaking staff to ensure effective use of their time, materials, skills, etc., to achieve the above responsibilities.
Project management of larger building projects including planning, working with potential and actual suppliers to ensure delivery on time and on budget. This will be supported by the Operations Director.
Additional Information on Specific Maintenance Tasks:
Opening the school in the mornings and ensuring security and correct closure of the school at the end of the day.
Ensuring school buildings, grounds and facilities are secure, clean, and well-maintained, performing repairs/maintenance and decorating where appropriate.
Ensuring animal enclosures are secure, clean, and well-maintained, performing repairs/maintenance where appropriate.
Assisting with delivering school vehicles for servicing and repairs.
Carrying out daily site checks to identify items that are misplaced or in need of attention and remedy them or schedule them to be remedied.
Ensuring gutters and drains are kept clean and well maintained.
Ensuring the efficient working of heating, gas, lighting and alarm systems in the building, including organising servicing.
During bad weather ensuring paths and walkways are clear, gritted and as safe as possible.
Ensuring the car parks and school sites to be kept clear from glass, debris and litter.
Being available for emergency and out of hours call-outs as required.
Assisting with events/lettings at school which may or may not be during normal school time. Example duties may consist of putting up signage, directing cars, assisting visitors.
Monitor waste management. Ensure bins are emptied at the end of each day and taken out at the correct times for collection. Liaise with contracting companies when necessary.
Sourcing maintenance supplies and researching cost effective solutions to building issues i.e. the most appropriate solution to a problem balancing the cost and complexity with the time taken.
Sourcing materials for and building small scale items as needed by the school eg log store, gate, shed or other projects happening on site.
Providing a porterage service including movement of furniture and equipment (on site and between school sites).
Liaising with Operations Director/Administrator concerning the engagement and supervision of contractors for building repairs and maintenance of site systems, eg air conditioning machines, fire alarm system.
Weeding and maintaining the plant pots and garden elements of the site.
Assisting with our allotment and polytunnels.
Understanding what is required to keep the premises running efficiently and effectively and produce an annual plan of what is required with timelines, in liaison with the Operations Director. Be able to work to any budgets given.
Ensuring the Health & Safety policy is being adhered to and esure checks are carried out weekly, monthly, annually as necessary and relevant paperwork is completed.
Health & Safety responsibilities range from:
- Fire Log checks (fire alarm systems, emergency lighting, fire safety equipment, fire doors)
- Legionella checks
- Asbestos register
- Contractor compliance documentation
- Arranging Servicing of boilers, air con etc.
- PAT Testing all electrical equipment used on site
- COSHH forms for hazardous products
- Ladder checks
- Safety matting on deck
- Any other H&S checks required to keep to standards
Attending any training courses relevant to the post ensuring continual personal and professional development.
Keeping tools and materials well maintained and in a safe and orderly fashion.
Visiting other Green Room sites as required for maintenance, renovations, decorating, deep cleaning where appropriate and other tasks as required by the Operations Director.
Hours:
This is a full time role (40 hours per week) to be conducted over 5 days per week with 4 weeks paid holiday per year.
Due to the nature of school, this role needs to fit around our pupils and their learning. Therefore, during term time, work needs to be scheduled so as to not disrupt their activities. For example, building maintenance of the main school should be carried out when children are not on site, however maintenance of areas not in use can be carried out during the school day.
Larger maintenance jobs and contracted work will need to be booked and supervised during the school holidays.
Holiday should be taken during term time as this role is required to be on site during the holidays.
As the school develops, additional tasks may be required and added to this job description.
All staff members are expected to go above and beyond the call of duty, and get stuck in wherever they are needed, no matter what the project.
KEY CRITERIA:

It is a busy and varied role which suits a person who is proactive and can rapidly re-prioritise depending on the circumstances at the time, and consequently has excellent attention to detail.
Dependability, punctuality, organisation and clear communication skills are essential; as is the ability to balance the quality of the job at hand with the cost and time involved.
This position requires excellent maintenance and decorating skills and the associated attention to detail.
A knowledge of plumbing, electrics, carpentry, gardening, animals and vehicles is an advantage.
Experience as a school caretaker/Facilities Manager with the associated Health and Safety standards is an advantage. Health and Safety training is given and topped up annually or as needed.
Finishing tasks in a timely manner and always leaving the site tidy and clear of any trip or danger hazards is imperative to avoid accidents among the staff/pupil/animal/visitor population.
IT skills are desirable, eg Google Chat, Google Docs and Google Sheets. Training can be provided.
