Position Summary:
The successful candidate will be employed by Highcliffe Court RTM Company Ltd. The Scheme Manager will report to the Property Manager from the instructed Managing Agent (HLM Property Management, Lambert Smith Hampton) but will also take instruction from members of the Right To Manage Company who are based on site.
The role will involve providing an effective site management service to Highcliffe Court and the residents within along with conducting minor physical maintenance and repair works.

Responsibilities and Accountability.
· Tasks, Business Processes and Procedures for which this job is responsible, and deliverables for which they are accountable
· Total part time hours to be worked per week: 20 at 4 hours per day.
· Monday to Friday between 8.00am to 2.00pm for 4 hours to accommodate daily circumstances.
· H&S ,Fire Systems and Water systems to be checked and logged.
· Complete check of internal and external areas of building daily including a weekly check on fire extinguishers & temperature monitors in corridors
· To maintain daily a day log book of all actions and incidents.
· Keep all other documents up to date and maintained appropriately.
· Ensure that site security is maintained at all times. All contractors visiting site to be logged in day book with company details and mobile phone number.
· Estate area cleaning and maintenance – including litter picking-sweeping-leaf clearing to Carpark, pathways, and outside bin store.
· General maintenance with general repairs and re-decorations where required.
· Health and Safety: Testing fire alarms and emergency lighting. Checking closing rates of all internal fire doors and general checking of building safety standards.
· To greet and assist residents, checking and screening visitors and guests,
contractors and service providers as required.
· To deal with all inquiries by callers and all telephone / e-mail contacts.
· Liaison between residents, contractors and service providers as required.
· To ensure that all data held on site is kept secure and at the end of each day all said data is locked securely away with all keys put in key safes.
· Keep accurate records of all accidents including contractor accidents.
· To assist and supervise all contractors employed at the property as necessary
· Liaise with the Directors of the RTM company and the Managing agents in
regard to any issues or damage caused to the property or any wants of repairs.
Daily;
· First point of contact for residents and relatives.
· Assist residents if required.
· Make sure all contractors / cleaners are working to required standards and specifications.
· Respond to emergencies.
· Security and well-being of the building.
· Administration and update of log book.
· Day to day management of the site which includes contacting HLM as necessary.
· Check building inside and out first thing in the morning and before leaving.
Weekly;
· Check outside bin store and ensure bins have been replaced in the correct order.
· At the end of the week make sure all outstanding items have been done or correct contact has been made to rectify said items.
· Check to make sure that all records are up to date regarding resident’s details
· Any checks that need to be made and logged.
· Check fire equipment.
· Check fire alarm every week, agree time and day with RTM usually 11.30am on a Thursday..
Monthly;
· Check pump house and log.
· Check around general water system .
· Log all testing including internal fire doors.
· Read electric / water meters and log results.
General;
· New Residents, arrange welcome pack and Building information pack.
· Ensure that all new residents complete relevant contact details.
· Advise where meters are and other items such as buggy store, refuse disposal etc.
· Give new residents all RTM details.
· Complete and display a bi-weekly newsletter giving residents up to date details of events, work in progress and general news on the building.

Please note:
The Scheme Manager is not to carry out any works or enter within individual apartments (this is the responsibility of the Leaseholder) unless under explicit instruction of the RTM Company or Managing Agent. Any instructions to do so will be in writing from the Leaseholder.
The hourly rate will be £11.80.
