We are currently looking for an experienced, enthusiastic, highly organised sales administrator to complement our existing sales team selling our world class premium fitness equipment. Due to our continued success, you will have a proven ability to successfully help the sales managers manage the sales process with the ability to be highly organised and able to multi-task with ease.
SALES ADMINISTRATOR
Pulse Fitness has provided customised solutions to more than 30,000 leisure facilities in 30 countries across six continents, alongside private clubs, fitness centres, hotels, spas, rehabilitation centres, corporate gyms, universities, professional sports facilities and more. The range includes over 450 pieces of award-winning equipment. We cover everything which includes innovative cardiovascular, stylish strength machines, functional, free weights and high-performance group cycles and hi-tech gym management software.
Main Duties & Responsibilities
· To communicate with all sales staff clearly and professionally
· To assist in the development of the tender process and documentation preparation
· Submit responses and allocate tenders to the relevant Regional Sales Managers
· To assist in ensuring we capture all tender opportunities posted within our industry by searching the internet and registering with the appropriate website portals
· To distribute tender/pre-tender documents to relevant internal and external sales staff
· To work closely with the Commercial Sales Director, National Sales Manager and Regional Sales Managers to produce a proposed scheme with layouts and approximate costings for each customers project/requirement
· To produce sales quotations and process confirmed orders quickly and efficiently on CRM/Sage
· To liaise with all departments to ensure full communication throughout the sales process/tender process
· Ensure all aspects of CRM are adhered to within the sales department if given the information and asked to
· Effectively support the external sales team in all aspects of their roles to ensure we maximise sales
· To complete pre-tenders/tenders and liaise with relevant internal and external sales staff and distribute documentation and information accordingly
· To proactively develop the tender process and documentation
· To request drawings for tenders/projects when required
· To liaise with the Regional Sales Managers to produce accurate quotations within a 24hr time frame
· To process confirmed orders immediately to ensure we meet equipment lead times upon all relevant information being provided by Sales Directors/Regional Sales Managers
· To provide the Sales Directors, Regional Sales Managers, and administration team with all aspects of tender support
· To ensure all tenders are evaluated, analysed, and produces within a timely manner for submission upon all relevant information being provided by Sales Directors/Managers & Regional Sales Managers
· To ensure all aspects of CRM are monitored and kept up to date if given the information and asked to
· To ensure all drawings from the Drawing Department are produced within a timely manner for submission
· To answer all telephone calls and emails in a polite, courteous, and professional manner
· To respond to all emails and messages quickly and efficiently
· To prioritise workload and ensure all deadlines are met
· To follow any other instructions required by the Directors/Sales Managers that may be required under the role of Sales Administrator
· To perform reception duties as and when required to help cover annual leave

· To attend meetings and training as advised
· To present a responsible and professional company image

· To work flexibly across all disciplines
· To participate in further training when appropriate
· To ensure all confidential and Company sensitive documents are kept safe and secure
· To work additional hours where required to meet Company/workload deadlines
· To undertake any duties allocated to ensure the smooth running of the department and to ensure the Company meets all deadlines/requests within a timely manner
· Help with Sage cover when the Business Systems Manager is off or on annual leave
· Generate spend reports for ESPO/APUC/CPC/LUPC/NWUPC/SUPC
