To assist the Head of Risk and Security by:
Providing high quality administrative support to the Risk Management department
Maintaining all body worn camera databases and ensuring that records, information and other administrative processes support the department achieve high levels of resilience and responsiveness with a focus on violence reduction, the use of Body Worn Cameras and its associated Digital Evidence Management System.
- To process accident/incident documentation, with a focus on violence and aggression incidents, and liaise with departmental managers to ensure that reports and investigations are completed within identified timescales, for review by senior management (including Body Worn Camera footage)
- To review potentially distressing and violent footage captured by Body Worn Cameras and link with corresponding Datix Incident Reports. Responsible for following up with the affected staff member should these reports not be submitted.
- To provide effective administration of the cloud based system used to store footage for Body Worn Video footage. This includes maintaining user access, amending system configuration (as appropriate, when instructed by the relevant managers), distributing footage in line with Information Governance restrictions and in accordance with documentation for the system.
- To support the Head of Risk and Security in ongoing review and development of Standard Operating Procedures and Policies relating to Body Worn Cameras/Violence Prevention/Reduction.
- To monitor, track and report on benefits realised as a result of investment in Body Worn Cameras. This will include review of both cost savings and qualitative benefits to determine whether these align with the forecast.
- To monitor and where necessary, provide assistance to the risk team and Safety Representatives in relation to body worn cameras with a focus on Violence Prevention and Reduction.
- To provide training on the use and operation of body worn cameras.
- To assist the Head of Risk and Security with the drafting of Health andSafety Policies and Procedures and reviewing those in place (particularly in relation to the use of Body Worn Cameras).
- To assist Health, Safety and Security Officer, when appropriate, to manage the incident recording and external reporting of violence and aggression incidents to NHS England/Improvement.
- To assist with the work generated by the Trust’s Annual Health and Safety Plan as directed by the Head of Risk & Security (with a particular focus on Body Worn Cameras).
- To assist with the recording and reporting of RIDDOR incidents in relation to violence prevention/reduction.
- To assist the Head of Risk & Security manage the Body Worn Camera Video Management System.
- To draft, and when appropriate display, Hazard Warning and Health and Safety Notices
- To carry out Health and Safety Inspections and Audits as directed by the Head of Risk and Security with a focus on body worn cameras.
- To attend internal meetings on behalf of the Risk Team when appropriate
- To input accurate data into the risk management database ensuring the database is comprehensive and regularly maintained and accurate (specifically in relation to Violent/Aggressive incidents and Body Worn Camera activations)
- To gather and collate information from the database and produce information and accurate reports for managers and NHS England/Improvement
- To review incident reports on the Datix system and to follow through, with managers, the timely completion of incident reports on Datix (particularly in relation to incidents of violence/aggression)
- To undertake all administrative duties associated with the processing of reports, policies, procedures, hazard and safety notices, letters and memorandums etc. (particularly in relation to Violence/Aggression incidents and Body Worn Camera activations)
- To arrange meetings, booking of rooms, contacting delegates, distributing agendas and taking accurate minutes etc.
- To advise managers on health & safety incidents within their work area (information taken from incident report forms) with regards to body worn cameras and violence, prevention and reduction.
- To liaise with risk management software providers on any changes required to the database, following discussion with the Head of Risk & Security and the Health Safety and Security Officers
- To be a point of contact for the Risk Department with regards to body worn cameras.
- To carry out general office duties, including filing, telephone answering, sending, receiving and answering internal and external email messages

- To monitor and where necessary, provide assistance to the risk team and Safety Representatives in relation to the Risk Assessment process, to ensure that all areas of the Trust are included and reviewed appropriately in accordance with the Trust’s Risk Management Strategy, with a focus on Violence Prevention and Reduction.
- To carry out preliminary health and safety risk assessments and training as directed by the Head of Risk & Security.
- To monitor the Control of Substances Hazardous to Health (COSHH) items being used by the Trust ensuring that Product Safety Data Sheets are provided and COSHH Assessments are carried out in accordance with the Trust’s COSHH Policy
- To monitor Display Screen Equipment (DSE) Workstation Assessments, advising and assisting Managers and DSE Workstation Assessors where appropriate, ensuring standards of best practice across the Trust
