Your mission
Together, we transform digital. Now, we’re looking for you – our new Resource Manager. You will have a passion for organisation, be excellent at communication, multi-tasking, and have a proven track record in traffic management for large teams (~100) in a multi-projects environment. You will be responsible for forecasting, coordinating and scaling the people resources of our digital agency Cyber-Duck to ensure that the best people are allocated to the right projects, in order to support our Project Managers in delivering on time and profitably.

Since 2005, we've evolved complex websites, applications and digital strategies so they deliver meaningful impact for organisations and their users. Our strategic ISO accredited UX & Service Design methodology produces inclusive strategies that can align stakeholders with users. We then implement accessible Drupal, Laravel web systems and applications that are scalable, robust, accessible, secure and optimised for SEO.
Your manager
You will report to the Chief Delivery Officer and be supported by our Head of PMO on a daily basis.
Where is it based?
We are hybrid. If you are based in the UK, we will want to meet up once every month or so and you are more than welcome to drop in to our Hertfordshire HQ or London office. You will be required to meet with the team as and when required.
Key responsibilities
You will:
- Be responsible to keep our set of tools (Harvest Timesheet, Harvest Forecast, ClickUp, JIRA etc.) updated when it comes to resourcing of our team of practitioners (UX, UI, Dev, QA, DevOps, Marketing…).
- Lead our Project and Product Management teams resourcing meetings, following up with notes and actions post-call to ensure that they are implemented and communicated with relevant stakeholders.
- Assist with resourcing requests and negotiate/prioritise with the team to reduce context switching for practitioners.
- Be working directly with New Business and Client Services teams to book resources for pitch support and setup new projects (before handover to Project Management Team) and resourcing scenarios based on new leads coming in.
- Support Account Managers with projects setup in our key tools, checking projects have been added correctly (using project codes) and updating project-specific Slack channels with any resourcing bottleneck.
- Ensure our resourcing policy is followed and tasks and briefs are ready for practitioners.
- Work with our Operations team to review the utilisation reports, identify upcoming capacity slots and identify hiring needs for new projects.
- Report on capacity levels and future resourcing needs across all delivery teams to Senior Management on a regular basis.
- Ensure that both existing and new staff are assigned to the right project delivery teams and given the best chance to succeed in their respective positions.
- You will continually improve and optimise agency workflow, ensuring all of the resourcing needs are being fulfilled and that all the teams are correctly aligned.
Experience and skills
We’re looking for applicants with skills and experience in the following areas:
- 2+ years of experience in a similar role, ideally within a Digital Agency environment.
- Experience scheduling multi-disciplinary teams and in using scheduling software to maintain an up-to-date view of current and upcoming work.
- Planning and organisation - you will not only be dynamic in responding to shifting priorities but also maintain great relationships with our Solution Architects, Lead Developers and Departmental Heads in order to act proactively to resource requirements and potential resource gaps in our delivery teams.
- Experience and the ability in sourcing, briefing and onboarding contractors and practitioners onto projects.
- Excellent time management, attention to detail and organisation skills.
- Approachable, calm, adaptable, flexible and self-motivated. Things are changing and evolving on a weekly basis, so you can keep a level head and focus on getting the job done.
- Strong communication and relationship-building skills with all levels of an organisation.
- Effective negotiation, persuasion and leadership demonstrated whilst working across all teams.
- A people person - you care about the teams you work with and can build collaborative relationships with them in order to understand problems and overcome them together
- Digital project management skills are necessary to as you would be required to understand the requirements of the projects at a high level and ensure necessary resources are allocated to the tasks.
Who you’ll be working with
You will work alongside a multidisciplinary team including including Project Management Office (PMO), UX Designers, Software Developers and Marketers. You will be working closely with our Production team, Project Managers and New Business to plan work ahead of time and report on overall efficiency.
