The Administration Assistant is a key member of the R&D central clinical administration team assisting in the delivery of research trials in a safe and timely manner. The post holder will provide efficient and effective administrative and organisational support to the Biomedical Research Unit as well as a number of other teams as workload dictates for new and existing research studies and clinical research trials.

An exciting opportunity has arisen for an Administration Assistant to join the Research and Development Department at UHCW NHS Trust in Coventry. We are looking for an enthusiastic, pro-active and hard-working individual who enjoys working in an interesting and busy working environment.

The post holder will play a key role in providing administrative support to the Biomedical Research Unit as well as a number of other Research clinical teams. Working across the wider R&D teams and Trust you will work with clinicians and research midwives/nurses and therefore excellent communication skills and a positive can-do attitude are essential.

Applicants will need to be computer literate in Word, Excel and Outlook mail with excellent organisational skills and meticulous attention to detail. Individuals must be proactive and have the ability to multi task and manage multiple projects at the same time, manage and prioritise your own workload and be able to work on both your own initiative and as part of a team.

Main Duties and Responsibilities:

  • Act as the first point of contact for dealing with routine enquiries and take action as necessary liaising with others as appropriate.
  • Communicate with staff, patients and/or external organisations using appropriate methods.
  • Requesting and dispatching patient records when required by clinical teams.
  • Undertake clerical duties relevant to research such as localising research documentation, completing research trackers, and pharmacy trackers, preparing and filing research amendments in study site files.
  • Maintain both manual and electronic filing systems and databases, as required by the department, ensuring all documents are accurately and appropriately archived.
  • Maintain an efficient and comprehensive administrative service, including but not restricted to reception duties, preparing documentation packs, producing correspondence, photocopying, scanning and filing.
  • Utilise relevant Trust IT systems, as determined by the role, in addition to study specific IT systems which may require database inputting.
  • Assist the research teams in maintaining electronic systems for managing a local portfolio of research studies. Update the trials databases including the local management system EDGE with details of patients.
  • Assist in simple data collection activities for specific studies.
  • Assist in the updating of specified research databases as required.
  • Responsible for the dissemination of all relevant information to departments, external and internal users (e.g. dissemination of minutes, memos)
  • Assist with training new team members in Trust operational systems and department procedures.
  • Following training when required assist in the dispatching of clinical samples to central labs.
  • Responsible for ordering, receipt and distribution of stationery and other clinical supplies for all teams whilst monitoring and maintaining stock levels.
  • Liaising with differing research organisations to maintain adequate clinical supplies for specific research studies within various teams.
  • Take responsibility for the receipt and distribution of incoming/outgoing post and action accordingly.
