Academic Services Specialist - Registration
The Academic Services Specialist (Registration) is responsible for assuring a high standard of excellence for student, faculty and department customer services in support of the University Registrar's mission, strategic goals and values. The position is a university resource serving students, faculty and staff by informing and adhering to academic policy and requires working in a collaborative manner, displaying initiative while providing exceptional customer service.
As an initial point of service for the University Registrar’s Office, primary duties for this position include, but are not limited to the creation and maintenance of academic records and ensuring the integrity of academic records and providing outstanding customer service to students, parents, alumni, faculty and staff through a variety of contacts. This position is responsible for providing cross-functional support in the University Registrar’s Office to our global student population. This position will require an in-depth knowledge of the University and the University Registrar Office’s policies and procedures and is responsible for providing case-by-case and comprehensive attention, researching and processing data for Carnegie Mellon University students. Handling inquiries from the HUB staff, students, parents, departments and faculty regarding university enrollment policies and procedures. This position is responsible for the accurate and timely maintenance of active and inactive records providing administrative support to review process and file documents, forms and reports, which may be highly confidential and complex in nature.
Job Responsibilities
- Maintains data in student system (S3) for registration and grading forms such as missing grades, change of grades, course grade option, course add/switch/change units, course withdrawals, late drops, vouchers and retroactive add/drops. Updates documentation regarding form processing. 40%
- Supports Assistant Registrar with diploma and/or ad hoc classroom scheduling requests. 15%
- Monitors transcript queues and rectifies any problem orders. Coordinates all transfer credit transcript submissions from students from various sources. 10%
- Assists with reading and responding to URO email inquiries, answering email inquiries and sorting forms. 10%
- Supports other team members in the URO in processing other forms or requests during back up or peak times such as enrollment and degree verifications and diploma order requests and/or mailings. 10%
- Assists with academic record retention, including microfiche records. Recalls past records with records storage facility as needed. Assists with document retention, as needed.10%
