Salary: $70,000-$90,000
This position is responsible for the safe transport, installation and storage of all artworks handled by the Gallery and precise management of inventory records. The Registrar works closely with the Operations Manager (in-house Art Handler), and facilitates daily communication with international, domestic and local shippers and fine-art logistics vendors. The Registrar also fulfills a client-facing role, in frequent communication with gallery clients including private collectors, art dealers/galleries, auction house staff and museums.
Primary Responsibilities
Movement of Artwork
. Coordinate all local, domestic and international transport for: acquisitions, loans, consignments, post-sale shipping, exhibitions and art fairs. Collections management through upkeep of digital inventory system and accompanying hard-copy files;
. Liaise with clients and shippers to coordinate transit schedules and installation services, while agreeing on cost estimates;
. Provide appropriate guidance for packing, crating and transport method of artworks;
. Receive and release artworks to/from the gallery, collecting countersigned BOLs from shippers, conducting incoming/outgoing condition checks;
. For incoming artwork, consistently measure artwork and framed dimensions; record, correct, update dimensions in database artwork record;
. Request, coordinate third party conservators' formal condition report or prepare in-house condition reports directly following receipt or in advance of movement;
. Maintain general up to date knowle dge of import/export customs requirements, particular ly for European countries;
. Ensure gallery compliance with shipments as related to sales tax and international shipping regulations;
. Communicate with gallery staff: movement schedules (ETA and ETD), artwork status and condition;
. Facilitate the courier requirement for loaned or sold artworks, as requested by lender or purchaser; Either functioning as the courier, or make arrangements through local vendors to supply the courier, or assist lender's courier with their travel arrangements;
. Procure shipping estimates and share with colleagues as each project requires;
. Receive and review all fine art logistics vendor invoices, cross-referencing with the original estimate and coding to the appropriate project's budget;
. Develop and maintain budget for each exhibition and art fair; communicating budget to Managing Director;
Exhibition of Artwork
. Organization and supervision of shipping and installation schedule, for Exhibitions and Art Fairs; coordinating all vendors and gallery staff, focusing on the consolidation and thoughtful distribution of information and timeline;
. Attend art fairs to oversee shippers and art-handlers on-site throughout install and deinstall periods;
. Organize the rotation of artwork within the gallery off-season and in offices;
. Organization and supervision of installation for private viewings within the gallery, outside of schedule exhibitions;
. Ensure gallery compliance with contractual or special installation requirements;
. Inspect condition of installed artworks throughout exhibitions and art fairs;
. Coordinate ordering of pedestals, plinths and related materials for display of artworks;
. Assist with all aspects of moving and exhibiting artworks in privately owned collection of Gallery Owner.
Inventory Control and Handling
. Update artwork record in the gallery inventory database (Art Logic) with each movement. This updat e includes the following: current location, location history, storage location, insured value, and artwork status, additionally this includes uploading shipping/customs documents, condition reports and condition photographs;
. Organize all documents related to artwork movement and storage (registrarial paperwork).
. Conduct semi-annual physical and database inventory audit to confirm location, insurance and condition information;
. Working with Art Handler organize the conservation and framing of artworks as required;
. Maintain records for artwork certificates, working closely with the Gallery Owner's Executive Assistant on this;
. Manage artwork inventory held at fine art warehouses;
. Prepare database reports for inventory and insurance purposes as required;
. Draft and supply Managing Director with end of month inventory reports for Census reporting requirements.
Storage and Supplies in coordination with Operations Manager/In-House Art Handler
. Maintain organized and safe ph ysical storage of artworks in the in-gallery fine art storage room.;
. Organize off-site storage of non-art which includes empty crates and display materials;
. Responsible for managing art fair installation supplies; this includes drafting the supply list, placing orders for material/hardware/equipment, keeping in stock and packing.
