Job summary

This varied role supports our Records Management team in managing Kew’s paper and electronic records, primarily focusing on paper records maintained in Kew’s central records Registry system. The Records Assistant creates new registered files as requested, adds new papers to existing files and oversees the closure of inactive files.

Additionally, the role provides key information services to staff - researching and answering a wide range of enquiries about access to and information from paper records. You will also assist the Records Manager in answering enquiries from staff about managing electronic records as we work to implement our SharePoint Electronic Document and Records Management system (EDRMS) across Kew.

Job description

This role would be an ideal fit for someone interested in gaining experience in the Records Management profession. Minimum 5 GCSE passes including English are required, with experience in customer service and good IT literacy. Experience maintaining or using paper filing systems and electronic document and records management systems (such as SharePoint) is desirable, but full training will be provided.

Person specification

The Records Assistant role requires strong accuracy and attention to detail, and the role holder must be able to work well independently while communicating effectively with stakeholders across the business.
