REQUIRED AS SOON AS POSSIBLE, RECEPTIONIST/TYPIST – PART TIME (FLEXIBLE WORKING
APPLICATIONS WELCOME BUT MUST INCLUDE MONDAY AND TUESDAY) - SALARY: POINT
6 – 8 (£21,968.00 - £22,777.00) PRO RATA, TERM TIME ONLY + 2 DAYS IN AUGUST TO
COVER THE COLLECTION OF EXAMINATION RESULTS.
We are looking to appoint an experienced and enthusiastic person to join our friendly
Admin team.
Applicants must have good communication and interpersonal skills, together with the ability to remain calm when under pressure, be confidential at all times and have the ability to work on own initiative and as part of the team. You will be based at the front of school on the reception desk.
This is a permanent position subject to a six-month probationary period.
Please note that this post requires the successful candidate to undergo full DBS screening and The Dean Academy is committed to promoting and safeguarding the welfare of students.

Job Description: Receptionist/Typist
Line Manager: Head Teacher’s PA
Grade: Point 6 – 8 (£21,968.00 - £22,777.00) Pro-Rata, Term
Time Only + 2 days in August to cover the collection of the examination results
1. Promote the image of the school to the wider community.
2. Answer the telephone, using Teams Telephone System, take and distribute messages.
3. Welcoming visitors to the school and dealing with requests from people who come to reception.
4. Retrieving messages from the voicemail.
5. Email the Attendance & Welfare Officer with all absences reported through reception.
6. Making appointments for teachers/parents etc.
7. Typing of all documents as requested, minutes, trip letters etc.
8. Distribution of incoming mail.
9. Dealing with outgoing mail including taking to the Post Office on a daily basis and keeping an up-to-date log of all post sent out.
10. Keeping reception clear of parcels by informing relevant departments of any deliveries and making sure they collect the parcels including Forest Sports Education.
11. Clerical tasks as designated by the Head Teacher’s PA.
12. Work with School Counsellor to make appointments for students, then notify students of their appointments. Also making appointments with parents/carers by telephone for the Counsellor.
13. Deliver messages to students re items brought in (PE kit, lunch money etc), messages from home, reminders re appointments.
14. Make telephone calls for students, if necessary.
15. Updating student details on SIMS.
16. Booking appointments for outside agencies eg. careers advisor, social workers and counsellors and sending reminders to students.
17. Accepting payments issuing receipts (if no-one from Finance is available)
18. Filing documents onto M-Store.
19. Issuing conduct cards to students and recording the information. Emailing the
Pastoral Lead when students have had 4 cards. Update the spreadsheet daily.
20. Holding confiscated mobile phones and returning them to students at the end of the day.
21. Use of the radio to speak to Site Staff/First Aid Staff when required.
22. Printing of student timetables and Class Charts passwords when requested.
23. Fire Warden – for reception/visitors.
OTHER DUTIES
The postholder may be required to undertake training and perform duties other than those given in the job description. The duties and responsibilities attached to posts may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and would not justify the re-evaluation of a post. Where a permanent and substantial change in the duties and responsibilities occurs, then the post would be eligible for re-evaluation.
