- Communicate and deal with clients and other parties on a daily basis by phone, email and face-to-face
- Greet all guests in a professional and courteous manner. Where appropriate recognise and remember key or long-term client contacts
- Prepare the meeting rooms including refreshments, lunches and ensure all required equipment is available and set up as necessary. This may include presentation equipment and video conference calls
- Ensure all areas of the office are presentable and kept to a high standard throughout the day
- Answer switchboard, with some calls coming in for the two other regional offices. Record accurate messages and forward accordingly
- Organise security passes for all new joiners. Liaise with I.T. to ensure that all correct access rights have been given and assist with their induction
- Monitor and order all Rothschild stationery, paper, binding materials, photocopying supplies, general stationery, and kitchen items. Ensure that all stock levels are maintained and ordered in adequate time
- Deal with all incoming and outgoing post, including organising couriers when required. Issue all received mail to the correct individuals
- Build a working relationship and liaise with contractors to ensure the needs of the office are dealt with promptly. Using knowledge of not only our premises but that of the entire shared building to assist and guide
- Assist I.T when needed. This can include photocopier problems, raising tickets with the IT helpdesk, issues with mobile phones and video conference equipment
- Ensure that the security of the office is maintained at all times. This includes being aware of and reporting any faults, the issuing of security passes and alarm tokens to staff
- Liaise with both in-house and external security providers, planning ahead to foresee any potential issues or threats
- Offer support to all GA teams when requested. Assist with printing, binding when required both here and in London
- Assist with the accurate updating of new contacts details and amending current ones.
- Assist with scanning and filing of sensitive documents
- Assist with meeting room diary management for the team
- Book taxis and couriers as required
- Assist with the organising of team events
- Organise and order all the new Rothschild branding stationery and business cards.
- Complete office inductions for new joiners
- Have a high-level understanding of the functions performed by GA and current mandates so as to appropriately deal with clients and support bankers
- Offer support to WM team when requested. Assist with printing, binding when required both here and in London
- Assist with meeting room diary management for the team
- Book taxis and couriers as required
