Receptionist – Cheltenham; Overall -


To primarily provide a professional and efficient reception service which includes dealing with incoming calls plus all visitors to reception including staff, clients and suppliers. To also undertake administrative duties on behalf of the Partners/Directors/Managers plus assist with any other administrative duties within the secretarial team as required.

Main Duties –

  • Answer incoming telephone calls, pass them onto the relevant person or take a message and email the relevant colleague with details to call them back
  • Greet visitors and inform the relevant staff their visitor has arrived
  • Make refreshments for visitors
  • Open all incoming post, date stamp and insert partner/manager initials then pass on to Aamna for uploading to M-Files
  • Inform staff member by email of all deliveries that arrive at reception
  • Be able to use the franking machine and frank outgoing post daily
  • Book meeting rooms for internal staff and client meetings
  • Prepare all meeting rooms in advance of meetings, with pads, pens and refreshments
  • Undertake photocopying/scanning for meetings already in progress
  • Clear meeting rooms at the end of meetings
  • Book taxis for partners, managers (on account) and clients/visitors (cash)
  • Every day to refill the drinks machine in reception and replenish supplies and clean thoroughly on a weekly basis
  • Companies House folder - deal with all renewals of confirmation statements
  • Assist with filling envelopes for mail merges
  • Ensure the reception area remains tidy at all times as well as the kitchen
  • Provide admin support to the secretarial team as and when required
  • Check the Tax calendar each week for 10-year anniversary trusts
  • Remove and secure print waste bags when full from the office floor
  • Allocate parking spaces to Partners/Directors and Managers
  • To complete necessary paperwork for recorded/special deliveries – outgoing post
  • General other duties to include housekeeping such as collecting the milk delivery from main reception each day. Empty the dishwasher in the morning and throughout the day when needed. Keeping an eye on supplies in the kitchen and restocking when needed.
  • Make regular drinks for partners throughout the day
  • Make sure we have adequate supplies for the coffee machine in reception and enough general supplies – liaising with Aamna
  • Ensure any items dropped off are put in the book on reception so we have a trail who they were given to.
  • Maintain the fobs for SJH and order more when stock is low – liaise Helen
  • Maintaining the SJH Maintenance document on MFiles – checking when things are coming up in the diary and liaising with Helen
  • Monthly water temperature testing
  • Updating Ligtas – meeting every 3 months with Helen
  • Completing IT forms for new starters and making sure we receive their laptop prior to their start date
  • Completing leaver IT forms and making sure we inform Tech Admin when items have been returned and put back in the server room
  • Liaising the Tech Admin to sort Computer Aid collections
  • Making sure we have adequate IT items in stock in the server room
  • Monthly checks Fire extinguishers are in place.
  • Setting up PDM codes
  • Registering Trusts – TRS
  • Assist with MSW Christmas Party if necessary
  • Booking hotels/trains through Clarity
  • Updating Interaction with activities/new contacts
  • Add funds to franking machine
  • Booking lunches etc..
  • Support Helen with buildings issues
  • Booking couriers
  • Ensure Health and Safety board in recreation area is up to date and tidy
  • Compile EIS forms (Tax)
  • Sort post sent to Carrick House and send back to sender if junk so it stops and liaise with employees to update any relevant papers to get address changed if we still need to receive
