Principal Duties
Key tasks will include:
- Meeting and greeting clients
- Booking meetings/arranging lunches
- Arranging couriers and printing sent confirmations for all couriered documents.
- Keeping the reception area tidy
- Answering and forwarding phone calls
- Screening phone calls
- Sorting and distributing post
- Purchase Invoicing
- Electronic Coding of Invoices
- CSAM Data Input
- Process invoices on Sage 200 under the direction of the purchase ledger team
- Check supplier statements under the direction of the purchase ledger team
- Any other tasks as required by the accounts department
- Copying any rechargeable invoices for freight, air fares etc and put in folder for recharging clients
- Posting any mail in tray at end of day and completing Mail Log Book
- Stationery orders
- Shopping for office consumables
- Providing holiday cover for Operations Admin team
Required Skills & Experience
The Receptionist/Office Junior will be require the following skills & experience:
- Ability to work alone, using initiative, as well as supporting a wider team
- Interpersonal skills, you will often be the first point of contact for visitors and/or callers
- Organisational and time management skills as well as attention to detail
- Experience with all aspects of Microsoft Office specifically Excel
Location
Howe Moss Pace, Kirkhill Industrial Estate, Dyce, Aberdeen.
Working Hours
Working hours will be Monday to Friday, 9.00am-5.00pm. Due to its nature, this will be an office-based role.
