The role
Providing a Front of House service within reception, you will be playing an instrumental role in delivering excellent customer service to both internal and external clients.
Key responsibilities
To work on a rotational shift between 08:00 – 18:00; 8:00 – 16:30 & 9:30 – 18:00.
Taking and directing calls through a switchboard.
Meeting and greeting clients/guests in a professional, courteous, and friendly manner.
Answering the telephone in a bright and helpful manner and assisting with all requests as required.
Create, amend, and cancel meeting room reservations via room Condeco booking system; these may include video conference, audiovisual requirements, and hospitality catering.
Support EA’s with Condeco; responsibilities include adding all new employees and removing employees who are leaving the business, report any user issues and offer new starters an introduction on how to utlilise the system.
Use Condeco on daily basis to ensure meeting rooms are being used/utilised effectively and efficiently.
Extract and create (via Condeco) monthly reports for line manager detailing use of all meetings including cancellations/amendments and overall usage.
Maintain and attend monthly meetings with Condeco account manager to ensure the system is used correctly/learn new features in order support the EA’s and the business.
Create new passes for all staff via Lenel system including deactivating leavers and upkeep of existing users.
Daily use of data entry system Vicinitee to ensure all guests and overseas staff are allowed access into the building.
Reporting maintenance (via Vicinitee) cleaning and engineering faults to the Facilities Manager and building maintenance.
Use Vicinitee to create and renew permits needed for building work/maintenance and deliveries to the office floors.
Attend a weekly catch up with CREFM team and maintain strong communication and relationships.
Operate as central point for incoming and outgoing mail.
Liaise closely with other service teams inc. Savills building management, to ensure quick turnaround of meetings and any special requests.
Liaise with recruitment agencies and organise temporary Reception cover.
Update the business on weekly visitors from other OMERS offices.
Manage and order business card requests.
Ordering office stationery
Ordering office weekly groceries
Other duties as assigned.
Key Skills
3-5 years’ experience on a busy corporate Reception desk.
Immaculate in presentation with strong communication skills and be comfortable with dealing with people at all levels of hierarchy.
Possess an enthusiastic, creative, and proactive approach to meeting business objectives.
Possess excellent organisational skills.
Strong IT skills and a polished telephone manner.
Obtain and maintain First Aid and Fire Marshall qualifications
Can work as part as a team but also comfortable working on your own.
