Salary: £22,000 per annum plus company benefits

Location: Manchester, M2

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 8:30am until 5pm with 1 hour break with a degree of flexibility should the service require

Work model: Fully onsite due to nature of role

Purpose of role

The First Impression Assistant is the first point of contact for visitors calling or visiting our client’s office and is a brand ambassador for Williams Lea. Duties include welcoming clients and visitors to the office, handling internal calls, organising and preparing hospitality and offering administrative support to the firm. Every task which is undertaken must be delivered with an exceptional customer service approach.

A successful First Impression Assistant should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They’ll be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This role requires working in shifts, so flexibility is a plus. This is a hands-on role and will involve working alongside Williams Lea team members to deliver the overall service.

Key responsibilities

· Meeting, greeting, and interacting with visitors, tenants and contractors

· Parking management

· Monitor a busy shared Client Inbox

· Internal call and email handling including taking and passing on accurate messages

· Updating log-books and schedules

· Processing deliveries

· Compiling the building newsletter

· Ordering, organising and assisting with building events

· Trouble-shooting facility problems

· Populating data collection workbooks

· Ensuring that security to the building is maintained in line with guidance and standard operating procedures

· Monitoring CCTV – training and licensing will be provided

· Carrying out the reception training for any cover team members and identifying ongoing training needs for the cover team, liaising with the Team Leader as needed

· Raising any concerns about process, practice or incidents as appropriate

· Actioning any reasonable task instructed by your line manager or property manager
