Our law firm is looking for an intake specialist/front desk receptionist to give a great first impression to everyone who interacts with our office and to evaluate and determine whether potential clients are a good fit for us.

Our Intake Specialist/Receptionist possesses qualities that build relationships and are client focused. You are compassionate, understanding and patient.
This is a position for someone who is looking for a long-term commitment with opportunities to grow.
What You Will Do
You will serve as a welcoming presence for all who call and enter our law firm. You will be taking calls from prospective clients, current clients, other attorneys and insurance companies and determining how to best help them. You will be the primary point of initial contact for our law firm. You will ensure callers and clients are treated with compassion and care. You will have the following responsibilities:
- Handle all phone calls in a professional and friendly manner.
- Handle incoming leads with empathy and compassion.
- Collect facts from potential clients and perform initial evaluation to determine whether case meets our standards.
- Explain the firm's services to the potential client and why we are the best fit for them.
- De-escalating situations using compassion and empathy with very stressed clients and potential clients.
- Prepare intake/retainer paperwork and send to potential clients using Docusign.
- Schedule appointments and maintaining firm’s calendar.
- Track all leads in our CRM and spreadsheets.
- Open new cases, and document case-related actions, in firm’s case management system.
- Maintain ongoing communications with clients via phone, email and text.
- General administrative support including scanning documents, processing mail, etc.

8. You enjoy answering the phone every time it rings. It’s never an “interruption” to you; it’s an “opportunity.”
9. You like to keep your workspace clean and organized.
10. Great at creating, maintaining, and deepening relationships.
11. Extremely detail-oriented.
12. Technologically savvy, exceptional computer skills (not just literate), proficient in Microsoft Office and Adobe and embraces the opportunity to learn new technology.
13. Easily learns and implements new ideas, trainings, and systems.
14. Great at follow-up and follow-through.
15. Work independently, prioritizing, and multitasking as necessary.
16. Live in Staten Island and are familiar with Staten Island neighborhoods.
This role is NOT for someone that:
1. Is lazy and has trouble getting to work each day on time.
2. Is not comfortable on the phone.
3. Does not enjoy being busy each day.
4. Has trouble following written checklists and systems.
5. Is disorganized and has a messy desk.
6. Has a negative personality.
7. Does not live in Staten Island and is not familiar with Staten Island neighborhoods.
