Job Description
Organisation
- Undertake reception duties, answering telephone, face to face enquiries accepting deliveries and welcoming visitors, safeguarding and health & safety procedures.
- Administer pupil first aid/medicines, welfare duties, looking after sick pupils, liaising with parents/staff etc.
Administration
- Administration of school dinners. Liaise with meal providers regarding school dinner numbers, correspondence etc.
- Maintain and update manual and computerised pupil records on management information systems (Integris)
- ParentHub communications to families
- Photocopier maintenance
- Provide general clerical/admin. support e.g., photocopying, filing, complete standard forms, respond to routine correspondence
- Undertake typing and word-processing and other IT based tasks
- Communicate with staff to ensure smooth running of school
- Sort and distribute mail
- Send mail and record
Resources
- Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, Internet)
- Maintain office stock and supplies, cataloguing and distributing as required
- Provide general advice and guidance to staff, pupils and other
Responsibilities
- Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
- Be aware of and support differences and ensure equal opportunities for all
- Contribute to the overall ethos/work/aims of the school
- Appreciate and support the role of other professionals
- Attend and participate in relevant meetings as required
- Participate in training and other learning activities and performance development as required
Experience
- General clerical/administrative/financial work
- Experience in a similar role
Qualifications/Training
- NVQ 2 or equivalent qualification or experience in a relevant discipline
- Good numeracy/literacy skills
Knowledge/Skills
- Effective use of ICT packages
- Use of relevant equipment/resources
- Good keyboard skills
- Knowledge of relevant policies/codes of practice & awareness of relevant legislation
- Ability to relate well to children and adults
- Work constructively as part of a team, understanding school roles & responsibilities and your own position within these
- Ability to identify own training & development needs & cooperate with means to address these
HEALTH AND SAFETY
You have a responsibility under Health & Safety legislation to ensure that you;
- Take reasonable care for your own health & safety and that of others affected by what you do or do not do
- Co-operate on all issues involving health & safety
- Use work items provided for you correctly, in accordance with training and instruction given
- Do not interfere with or misuse anything provided for your health, safety or welfare
- Report any health & safety concerns to your manager as soon as practicable
Complete risk assessments where appropriate and share them with the staff involved and have them signed off by the Headteacher
