Job description

The Receptionist provides exceptional service delivering operational functions in the shipping & receiving of mail, packages and freight. Additional duties include performing mail center functions such as delivering mail & packages to site staff, maintaining inventory levels of necessary supplies and assisting the mail services team in other daily activities.

Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service.

Schedule: Mon to Fri 8am to 430pm

Duties and Responsibilities:

  • Provide 5-star customer service to all employees (in all forms of communication).
  • Receive inbound mail & packages, use handheld scanner to capture package information in package tracking system, relocate items from loading dock to mail center or appropriate internal recipient.
  • Stage outbound shipments for pickup by carrier, collect pickup signatures as required, interact in a collaborative manner with carrier delivery personnel.
  • Handle all items received through adherence to all safety & security requirements and quality assurance processes.
  • Prepare outgoing mail & packages utilizing postage meter and shipping software application.
  • Review and reply to emails inquiries regarding incoming items, answer phone calls from site staff, assist clients who may walk up to loading dock.
  • Light cleaning duties as assigned including maintaining the loading dock area in a neat, orderly fashion.
  • Cross train in other areas of mailroom operations.
  • Adhere to all required policies and procedures.
  • Maintain a professional appearance and attitude at all times.
  • Other duties as assigned by supervisor or manager.

Qualifications and Education Requirements:

  • High School Diploma (or equivalent) required.
  • 1+ years relevant work experience preferred.
  • Ability to work independently with minimal supervision.
  • Pallet jack, pull cart/dolly and handheld scanner experience preferred.
  • Ability to work assigned work hours determined by manager plus occasional overtime on short notice.
  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • Current knowledge or ability to learn computer-based systems required for functions of position, especially Microsoft Office.
  • Knowledge and understanding of shipping & receiving procedures.
  • Good organization and time management skills.

Physical Demands:

  • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.
  • Ability to lift or move 40 lbs. or greater frequently.
  • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time.
  • Ability to work in an environment with changing climate conditions- e.g. hot weather, rain/snow and cold temperatures.
