Job description
This person must be capable of performing accurately any function requested of them within the scope of this post, to assist the practice to run efficiently. No formal qualifications are required, but a good standard of education is expected.
Shifts are: Mon, Tues & Wed 1-6.30pm and Fri 8-2pm = 22.5hrs
AIM
To provide and maintain a reliable, welcoming and friendly service to the patients at all times. Responsible for dealing with problems and queries from doctors, other staff, attached staff, patients and other agencies, as well as general Reception duties appropriate to the nature of the post in a pleasant and efficient manner.
AREAS OF RESPONSIBILITY:
Administration
· To have a thorough knowledge of all Practice procedures.
· To work in accordance of all written protocols and policies
· Receive and send daily post as required
· Scan and ‘Workflow’ documentation ensuring completion of the whole process on the same day as arrival
· Pulling notes when requested
· Filing where appropriate
· Fax and photocopy as requested
· To keep medical records in good order as directed and ensure all records are colour coded accordingly
· To Keep filing up to date and accurately filed where appropriate
· Regularly checking internal post boxes and dealing appropriately with contents
· Maintaining where requested, a record of daily lab tests, both outgoing and incoming in a manner suited to the needs of the practice
· Regularly checking internal post boxes and dealing appropriately with contents Undertaking dictation/typing of referral and other letters as requested
· Processing referrals through Choose & Book as requested
Telephone
· Answer the telephone within 5 rings in a pleasant and courteous manner at all times
· Deal with all telephone requests/queries in the appropriate way
· Ensure timely and accurate recording of all telephone messages
Reception
· Receiving registered patients consulting with members of practice team
· Receiving new patients in accordance with Practice policy
· Arranging Transport for Patients where appropriate and as requested '
· Handing completed repeat prescriptions to patient and checking names and address.
· Be able to cover all receptions position as necessary and/or requested
Appointments
· Process appointment requests in accordance with Practice policy
· Recall patients for appointments as and within timescales requested
· Deal with and log home visit requests
· Print off a hard copy of following day appointments in case of computer failure
Computer
· Use of the practice computerised clinical system
· Registrations of new patients - computer data entry and medical records.
· Entering patient data as required including notifications of changes, attendance status etc
· Process repeat prescription request in accordance with practice guidelines.
Other Tasks
· Clear rooms after surgeries and re-stock with supplies where appropriate
· Chaperoning Doctors when requested
· Ensure building security - have thorough knowledge of doors, windows, alarm and security procedures.
· When on duty, open and close the premises as required following the security procedures
· Advising/Charging fees for consultations/prescriptions where appropriate and in accordance with Practice policy. Receiving and receipting all payments received
· Follow Practice procedures for registrations including temporary patients, overseas visitors etc
· Organising/making refreshments as requested
· Assist with general cleanliness and hygiene of premises throughout the day including clearing spillages as necessary/required.
· Any other tasks allocated by Partners/Managers that fall within the scope of Practice requirements, the role itself and employee's expected skill level
· To comply with all policies and procedures within the Staff Handbook
· Cover Sickness/ absence Leave for team members which includes being able to take a willing and flexible approach in terms of Rota cover
· To comply with all Practice/legal requirements pertaining to patients, staff and the Practice e.g.
· Data Protection Regulations (applicable to all staff, visitors, patients, contractors etc)
