Shifts: 6:45am-2pm or 1:30pm-9pm, rotating weekends and holidays

GENERAL SUMMARY
Reports to the Director of Ancillary Services. Under general supervision, but according to established procedures, answers, screens, and directs all incoming calls; greets, registers, and appropriately directs all visitors; and provides secretarial support to other departments. Monitors fire alarm system and announces all EICS codes.
PRINCIPAL DUTIES & RESPONSIBILITIES
1. Supports the Mission and Vision of RML Specialty Hospital by demonstrating RML’s Core Values of Service, Teamwork, Accountability, Integrity, Respect and Stewardship (STAIRS) in all actions. Promotes a positive patient/customer experience by exemplifying the principles of the Language of Caring in all interactions with patients, families and coworkers.
2. Maintains and protects the confidentiality of patient, personnel and hospital proprietary information at all times.
3. Understands and complies with all hospital and departmental policies and procedures.
4. Receives and screens all main hospital telephone incoming line calls and transfers to appropriate personnel, department, or extension in accordance with HIPAA guidelines. Responsible for overhead paging calls.
5. Responsible for greeting, registering, and directing visitors to the appropriate locations. Checks out visitors as they leave.
6. Monitors restricted visitor list and extended visiting hours. Enters alerts in visitor management system as needed.
7. Follows the proper procedure for notifying departments or individuals when a particular visitor arrives. Works with security to ensure policy is followed.
8. Monitors fire alarm system according to departmental procedures and calls fire codes accordingly. Announces per policy all EICS codes.
9. Follows Hospital Infection Prevention guidelines including educating visitors on use of PPE when visiting patients on isolation. Ensures there is an adequate supply of gowns and gloves for visitors.
10. Assist the Admitting Department by notifying them via e-mail of parties in house needed for patient signatures as well as responsible for making photocopies of insurance cards and photo identification cards.
11. Assists the Admitting Department with processing room transfers and discharges during designated hours.
12. Sorts and distributes US mail and interoffice mail daily.
13. Maintains census reports of all in-house patients by room number, care coordinator, phone extension, extended visitation, isolation, and updates reports as noted in procedure.
14. Responsible for processing vending refunds, sale of postage stamps, and movie tickets.
15. Responsible for maintaining and stocking the necessary supplies and logs for the Office Services department. This includes, but is not limited to, gowns and gloves, visitor labels, tour log, copier repair log, and the vending refund bag.
16. Other duties as assigned.
SKILLS & ABILITIES
MINIMUM
Typing speed of at least 45 wpm.
Demonstrates proficiency in PC-based word processing, spreadsheet, and presentation programs.
Ability to design and prepare accurate reports and tracking systems
Can handle multiple incoming lines with extensions, able to screen calls, and be able to commutate professionally with the customers.
PREFERRED
Microsoft Office Applications preferred.
KNOWLEDGE & EXPERIENCE
MINIMUM
High School Graduate
PREFERRED
1-2 years of comparable office experience
