Receptionist - Office Based
Location: Emersons Green (Bristol)/Hybrid
Salary: £20,000 - £22,000 + bonus + benefits
Preferably full time but will consider part time.

Our flagship product is IntelliPen, a state-of-the-art, Internet browser-based pensions and benefits administration system, encompassing workflow, document management, payroll, accounting, reporting and all of the functionality a modern pensions department will demand.
As part of our continuing growth we’re looking for a new Receptionist to join our team.
The receptionist will be the ambassador for Procentia from an onsite engagement perspective including visitors, phone and digital/website interaction. You will have an overview of many different areas of the business, a great working knowledge of Procentia and its aims, and will pitch in wherever necessary to ensure we operate smoothly and professionally.
In this role you will support Procentia by applying your experience and knowledge of front of house management, ensuring our clients receive a positive professional experience from smoothly getting them to the team member they require or while clients are visiting us onsite. You will be the first point of contact for email and phone enquiries. This will be especially important as we are in a hybrid working environment.
Your main responsibilities and tasks include, but not limited to, key point of contact for facilities queries and front of house management, coordinating external suppliers, support with adhoc projects across our business teams and flagging any issues within the building to the Office Manager.
You will manage a diverse workload including multiple parallel tasks and you will prioritise your time and tasks effectively. You will have a proven track record in a similar role and can get stuck in a make a difference offering a high-quality client service experience as well as the ability to understand and introduce outside concepts to challenge the status quo or improve our client experience at Procentia.
Description and Responsibilities:
· Front of house – be the first and last point of contact for our visitors/contractors coming into the office. Welcome all our customers, visitors and meeting room guests with an authentic enthusiasm and smile in a friendly, professional natural manner. This also includes answering the office incoming calls and transferring to the relevant party.
· Opening and distributing post – arranging courier/postal collections where needed. Including filing, photocopying and scanning documents.
· Opening and closing down the office – or ensuring this owned by a key holder if they are remaining outside of office hours.
· Keeping reception/meeting areas neat, tidy & welcoming.
· Meeting room management and resetting rooms and office as appropriate – including monitoring of IT functionality and escalating issues, meeting room user guides. This includes making refreshments for visitors and ordering of business lunches.
· Support the co-ordination and facilitation of specific meetings, conferences and events, this could include quarterly townhalls, annual user group meetings, Senior Management ad-hoc meetings, annual employee activities.
· Travel administration as and when required in office manager absence.
· Concierge service – booking taxis/ ordering of business lunch / restaurant bookings.
· Maintaining stock levels and distribution of office essentials including stationary, consumables and cleaning items - ensuring office teams have what they need to work safely and efficiently.
· Building access – New employees fobs, logs and key holder training maintaining Paxton with access list.
· Charity – assisting marketing team with charity initiatives & fundraising events.
· Arranging leavers gifts/cards and also life event actions such as new baby or a family bereavement.
· Assisting the office manager with the smooth running of the office and helping out wherever needed.
· Adhoc Compliance audit projects
