Orchard Orthodontics is a long-established multi-site practice, looking to recruit an Administrator/Receptionist to join their dynamic team. The role will be based across both practices, each of which is situated walking distance from excellent transport links, has a patient-focused approach, with the majority of patients attending through word of mouth recommendation. The staff are proud of the amazing results they achieve and are looking forward to welcoming a new member to their team.
The role involves providing patients with the highest standard of customer service and ensuring that all patients have a flawless journey from first contact to initial consultation right through to after care. The job of the Administrator requires responsibility, patience, understanding and empathy when dealing with patients:
- Accurately and efficiently liaise all relevant information between staff.
- Stock management and ordering.
- Work with the in-clinic team to support day to day out patient operations ensuring a seamless in clinic experience for all patients, visitors, consultants, and staff.
- Work proactively to identify and solve or report in clinic issues
- You will be the patient’s first contact with the clinic and will be responsible for acting as the patient concierge, greeting clients in the clinic, and carrying out Covid 19 related checks when a patient enters the clinic.
- You will follow in clinic protocols and take payments while maintaining the clinic’s exceptional customer service standards.
- You will ensure that all patient records are kept up to date and be responsible for managing the consultant diaries to ensure the clinic is running efficiently.
- You will handle general day to day activities such as opening and closing the clinic, ensuring the clinic is always presented to the best standard, general housekeeping duties.
- General administration including answering phone calls, booking the diary, maintaining and updating computerised patient notes, medical administration, liaising with external labs etc

- A calm demeanour with prior experience working under pressure using sensitivity and discretion always.
- Fluency in Spanish is preferred but not essential
