Job Title: Receptionist THE BUSH DOCTORS
Hours 11AM TO 7PM - 7.5 Hours pw, Full Time
Salary: £22,192.00 - PRO RATA PER ANNUM
Base: H&F Partnership - The Bush Doctors, W12
Responsible to: Operations Manager
Accountable to: The Partners, H&F Partnership
Job Purpose
After your induction and sufficient training, you should be able and prepared to undertake any of the following tasks. The workload will be shared between members of reception and reception manager and will vary as required by patient and organisational needs.
Main duties and responsibilities
Telephone
Manage a busy switchboard
Take calls from patients.
Make appointments for doctors, nurses and healthcare assistants.
Take requests for home visits, refer to the appropriate doctor and make sure that agreed visits are recorded on the visit book
Liaise with hospital – check appointments, chase results, letters and discharge summaries. Arrange patient transport when required.
Arrange urgent ambulances for patients when required
Take messages for all clinical staff and ensure they are informed by task/ notification or phone
Deal with miscellaneous queries and requests from patients and other outside agencies when required e.g. hospitals, pharmacies etc.
Dealing directly with patients
A high standard of courtesy, calmness and efficiency is required at all times when dealing with patients. A member of the medical team will decide all matters relating to patient care e.g. urgency to have a prescription or home visit.
Receiving patients for clinics – marking all arrivals on the computer.
Adding non-appointments at the doctors or managers request.
Ensuring that patients who are passed from one clinic to another are entered and followed through correctly.
Taking requests for repeat prescriptions.
Registering new patients and entering data accurately onto the computer.
Deal with miscellaneous queries and requests from patients, doctors and other staff.
Informing patients of test results.
Administration
Scanning all patient related letters into their medical records.
Filing prescriptions.
Faxing
Photocopying
Arranging interpreters
Registering New Patients
Deducting patients
Dealing with all administration work given to doctors, line manager or management at the Practice.
All other duties as required by your Line Manager relating to administration at the Practice.
Computer
All members of staff must be competent users of the computer with the ability to accurately enter and extract information as necessary.
Be able to produce basic letters using the word processing function.
Miscellaneous
Make tea and coffee for all members of the team as requested. Cater for primary health care team meetings when requested.
Undertake any other tasks for which appropriate training has been given at the request of the doctors, reception manager or practice manager.
This is a description of the post as it stands at present. This does not intend to be exhaustive and therefore does not form part of the contract of employment. The job will be reviewed regularly to ensure that it meets the requirements of the service and to make any changes necessary. Your managers will conduct this procedure. You will be expected to participate fully in those discussions.

Personal Specification
Education / Qualifications
Literacy & numeracy at minimum of NVQ 2 level
GSCE in English & Maths
Experience
Experience of working face-to face with customers.
Experience of working within a healthcare setting ideally in General practice. An awareness of a range of health service provisions
Knowledge
Knowledge of Microsoft office.
Experience of working on a clinical system,*ideally SystmOne*
Skills & Aptitude
Communication/ Telephone skills
Confidence to work in a team or alone
Ability to communicate well verbally and in writing
Empathy for different client groups
Understanding of the need for confidentiality
Data input
