Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide basic information to callers
- Schedule appointments and maintain calendars for multiple staff members
- Coordinate and schedule meetings, conferences, and events
- Assist with project coordination, including organizing and tracking project timelines and deliverables
- Provide customer support by addressing inquiries and resolving issues in a timely manner
- Maintain and organize files, records, and documents
- Assist with order entry and inventory management
- Perform general clerical duties such as photocopying, scanning, faxing, and mailing
- Assist with event planning and coordination
Requirements:
- Previous experience as a receptionist or in a similar role is preferred
- Proficiency in using Google Suite (Gmail, Google Docs, Google Sheets) for email communication, document creation, and data entry
- Familiarity with medical office procedures is a plus
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Attention to detail and accuracy in data entry and record keeping
- Proficiency in using QuickBooks or similar accounting software is a plus
- Ability to maintain confidentiality of sensitive information
- Dental receptionist experience is a plus
