JOB DESCRIPTION
ROLE AND RESPONSIBILITIES:
Opening and closing the office:-
The postholder is to:-
- Open the doors to the office promptly at 9.30am;
- Ensure that there is a member of staff who will close the office at 6.30pm (or later if required);
- Ensure that on closing both doors are locked and the shutters at the front and the back of the office are fully down, all doors locked, including that to the photocopier room and lights switched off.
- Ensure that all members of staff sign in on arrival at the office and sign out when they leave for the day.
Client Care:-
The postholder is to:-
- Ensure all clients sign in whether or not they come with appointments;
- Inform the fee earner promptly that their client has arrived;
- Ensure that all clients use the hand sanitiser provided and wear face masks during their time in the office
- Inform the director should the postholder have any difficulty in ensuring that the clients are compliant.
- Keep the reception area tidy in front of and behind the counter.
Messages and call backs:-
The postholder is to:-
- Answer calls to the main line to the office and direct calls to the relevant fee earner;
- If the fee earner is with a client, the postholder is to take the caller’s name and telephone number and make sure that these are given to the fee earner promptly.
- To keep a record of these calls and check towards the end of the day that the fee earner has replied or will return the call before leaving the office for the day.
- To make appointments for the director using the Outlook calendar;
- To monitor [email protected] and direct emails appropriately;
- To call back clients who leave recorded messages and take down the details and direct appropriately.
Post:-
The postholder is to:-
- Take the delivery of the day’s post and open the post;
- Date stamp each letter EXCEPT FOR COURT ORDERS;
- Write the file number at the top of the letter EXCEPT FOR COURT ORDERS;

- Scan all items of post to [email protected] entering the file number on the scanner before sending;
- Give the post to the director.
- Bag up and stamp the daily post out and arrange for it to be taken to the post office promptly at 4.30pm.
Breaks:-
The postholder is to:-
- Ensure that cover is always in place at Reception when breaks are taken.
General Data Protection Regulations:-
The postholder is to:-
- Ensure adherence to the General Data Protection Regulations (GDPR) at all times.
Training will be given on GDPR.
Job Types: Full-time, Permanent
Salary: £19,851.00-£25,785.00 per year
Schedule:
- Day shift
- Monday to Friday
Ability to commute/relocate:
- London, NW10 2NX: reliably commute or plan to relocate before starting work (required)
Education:
- GCSE or equivalent (preferred)
Experience:
- Customer service: 2 years (required)
- Administrative experience: 2 years (required)
- Reception: 2 years (required)
Language:
- English (required)
