RECEPTIONIST/ADMINISTRATOR
Purpose
Company: Kings House Management (UK) Ltd strives to become the market leader in business centres, conferencing and meeting rooms by providing their clients with exceptional facilities and a first class professional service.
Role: To work with the Business Centre Team to provide a high standard of client support to ensure that all services provided by the Business Centres meet the needs of our serviced/virtual office clients’ and visitors’ requirements.
To provide telephony support to our clients; by answering large volumes of incoming calls and making calls, as well as diary management and other essential duties, as required.

Main Responsibilities
Reception
- Take ownership of our front of house processes and procedures and work alongside the Business
Centre team to run a smooth and professional Reception service.
- Welcome clients and visitors and announce their arrival, dealing with them in a polite, friendly, calm and customer focused manner.
- Provide telephone answering and diary management service for the core companies and clients, both serviced office and virtual.
- Handle all calls in a timely, professional and courteous manner, transferring calls swiftly but efficiently.
- Take messages accurately and ensure they are passed on immediately.
- The Receptionist must obtain the identity of anyone unfamiliar that enters the area and makes sure he/she has legitimate business there. Visitors may not leave the reception area or go to client offices unannounced. No salesmen should be allowed access to a tenant without an appointment.
- Ensure visitors badges are completed and worn at all times by each visitor to the Centre and badges returned when leaving the premises. In the absence of visitors badges being issued then ALL visitors must sign in/out and log times as required by security and fire regulations.
- Ensure that all visitors, clients and staff park in the designated bay, visitor space or station car park and politely but firmly ask them to move to an alternative space if parked inappropriately.
- Ensure clients receive a timely and comprehensive orientation of services and procedures.
- Continuously monitor the appearance of the Reception area and be responsible for housekeeping for same.
- Ensure that reception is never left unattended and is not used as a meeting venue.
- Ensure the discretion and confidentiality of Company and all client information at all times.
Administration
- To open the Centre and prepare, monitor and replenish meeting/conference rooms on a regular basis throughout the day and in accordance with the bookings each day.
- To work with the Business Centre team in setting up and clearing down meetings and events using the Operate system efficiently.
- Use Opearte to view centre usage and to log or amend bookings, as required.
- To accept and manage deliveries for clients and core business and record accordingly.
- Report any equipment malfunction and client issues to the Conference / Centre Manager.
- Support the Business Centre office and core businesses with administrative duties.
- To handle all courier, post and special deliveries, and maintain proper records of same.
- To raise and place all purchase orders for the Business Centre including maintenance and stock requirements.
- Make travel arrangements as required and maintain proper records of same.
- To handle any reasonable job related request.
The Directors reserve the right to amend job descriptions as reasonably required.
Job Types: Full-time, Temp to perm
Contract length: 2 months
Salary: £20,000.00-£23,000.00 per year
