JOB TITLE: Admin Assistant/ Receptionist
REPORTING TO: TheManaging Director
ACCESIBLE TO: The Principal
SALARY: 26-28K, based on experience. Salary review based on performance after one year of employment. 3 months probationary period (some salary review may be possible at this time)

Founded in 2003, ICON College of Technology and Management is a private higher education institution adjacent to the City of London and around 1400 students including in BSc/BA (Hons) Top-Up courses. The College recently signed a partnership agreement with Bishop Grosseteste University for a period of five years to deliver validated approved BSc/BA Hons with Foundation Courses. JOB DESCRIPTION
PURPOSE:
The Administrative Assistant/Receptionist is responsible for providing clerical and administrative support/Reception duties to the students monitoring and admission/enrolment activities. He/she maintains a current knowledge of appropriate college policies, processes and procedures in an effort to assure efficiency and integrity of the office.
Main responsibilities:
- Provision of general administrative duties for colleagues and students
- Registering new students into the ICTM system
- Updating student records into the ICTM system
- Preparing enrolment and other relevant letters (e.g. council tax, deferral etc.)
- Entering attendance register
- Phone calls for low attendance on daily basis
- Checking that student files are complete and contacting students with incomplete files
- Responsible for ensuring security of student files and the recording and return of files in use by colleagues
- Replying any queries regarding students from any relevant organisations
- Printing ID cards
- Sending text messages
- Filing documents/letters
- Management of the TFL discount scheme for students
- Drafting of letters at the request of the Managing Director and Principal
Additional responsibilities:
- Covering Reception as and when required
- Photocopying and scanning
- Providing enrolment and administrative advice to students
- Providing administrative assistance at open days and during student induction
- Distribution and collection of student satisfaction questionnaires
- Implementation of disability access scheme by providing car park and lift usage for students who have necessary approval for the same
- Assist all other members of the College Admin team with overflow work when required
- Act as a responsible and active team member, meeting agreed deadlines and developing productive working relationships with other members of staff, demonstrating by example that the views of other team members are respected
- Any other duties as determined by the College management.
Person Specification:
Essential requirements:
- Excellent English language communication skills (verbal and written)
- Minimum 2 years of relevant work experience
- Knowledge of MS Office including Ms Word, Outlook and Excel
- Good interpersonal skills, a team player and a flexible approach to working patterns
- Competence to deal with both regular and mature students
Hour of Duties:
- Duties are from 9am-6pm/10am-7pm, 5 days a week (includes Saturday)
Benefits:
The College will offer a salary 26-28K depending on qualifications and prior experience. In addition, there will be 33 days holiday (including 8 bank holidays) per annum. A range of work-life balance opportunities and family-friendly negotiated working arrangements are available. A 5-8% private pension contribution may also be made by the College.
