Receptionist – Holt Medical Practice, North Norfolk
The Surgery:
We are a large practice with over 14,500 patients, 7 GP Partners, a mix of salaried GP’s, Nurse Practitioners, Nurses, HCA’s, physiotherapist, and social prescribers. Our main site at Holt is a modern, airy, purpose-built Surgery which has just underdone a renovation and extension, to provide 5 more clinical rooms and administration space. We have two branch sites in the nearby villages of Melton Constable and Blakeney. Although busy, we are a relaxed, welcoming, and harmonious Practice.
28.5 hours a week - Wednesday - Friday 08:00 - 18:30
The hours will predominantly be split across 2 branches, Holt and Melton Constable, with the occasional requirement to cover the Surgery at Blakeney.
In addition there is the opportunity to work Saturdays, covered on a rota basis 08:45 - 17:00 or Tuesday evenings until 8pm.
The Role:
Primary key responsibilities - Receptionist
The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
- Maintain and monitor the practice appointment system
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers’ request appropriately
- Signpost patients to the correct service
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Clinically code data on EMIS
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into patients’ healthcare records as necessary
- Direct requests for information, i.e., SAR, insurance/solicitors’ letters and DVLA forms to the administrative team
- Manage all queries as necessary in an efficient manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
Secondary responsibilities
In addition to the primary responsibilities, the Receptionist may be requested to:
- Partake in audit as directed by the audit lead
- Support administrative staff, providing cover during staff absences
- Action incoming emails and correspondence as necessary
- Scan patient related documentation and attach scanned documents to patients’ healthcare records
- Complete opening and closing procedures in accordance with the duty rota
- As required support the Prescription Clerk in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
- Order and monitor stationery supplies
- Produce, maintain and participate in the receptionist rota for lunch and out of hours cover
- Deputise for the Reception Manager/Supervisor during periods of absence
- Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
- Identify and provide team training where required
- Support the Reception Manager/Supervisor in producing and maintaining the duty rota
- Support the practice manager with all Patient Participation Group related matters
- Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room

Educated to GCSE level or equivalent
GCSE Mathematics and English (C or above)
AMSPAR Receptionist Qualification
NVQ Level 2 in Health and Social Care
Experience - Desirable
Experience of working with the general public
Experience of administrative duties
Experience of working in a healthcare setting
