We’re seeking a positive and welcoming receptionist/administrator to help with the day to day running of the FibreHub.
The FibreHub is a multi-tenanted building serving long-term commercial tenants, co-working professionals and general visitors. You will be working alongside our facilities manager to make sure everyone’s experience of the building is a positive one. It is very important that all tenants are well looked after, have all equipment they need and that any concerns are quickly addressed and resolved.
The ideal candidate will be well organised and have very good communication skills. This role also calls for flexibility as there could be the odd occasion when an event calls for an earlier start or later finish.
Responsibilities:
- Responding to customer enquiries face to face, over the phone and via email/enquiry form
- Providing administrative support, including data entry, filing, and document preparation
- Collaborating with the team to ensure smooth operations and to provide outstanding service to tenants/guests
- Following up with tenants/guests to ensure their satisfaction and address any further needs
- Creating a warm and welcoming atmosphere for all staff and visitors
- Managing the ordering and distribution of office supplies
- Ensuring the reception area is always kept neat and tidy
- Representing Headforwards/Fibrehub and maintaining a positive brand image
- Ensuring all day to day needs and requests are handled efficiently and effectively
- Assisting with viewings/building tours
- Assisting in hosting events to encourage new relationships with customers and relevant stakeholders
- Managing parking for both tenants and visitors to the site
- Receiving and sort all daily post and deliveries
- General administration duties including use of Microsoft Word and Excel
- Assisting facilities manager with other duties ad hoc
Desirable skills and experience:
- Previous experience in a reception, administration, or customer service role
- Able to multi-task in a busy, adaptable workplace
- Strong general IT skills, including MS Office
- Excellent verbal and written communication skills
- Possess fantastic organisational skills with the ability to prioritise tasks
- Passion for delivering excellent customer service
- Excellent team player
- Able to develop and maintain good working relationships
