Job description
Job Purpose: To welcome patients into the practice, assist and direct them to the most appropriate service or healthcare professional in a courteous, friendly and timely manner. To fulfil a variety of administrative tasks such as scanning/registrations and to maintain strict confidentiality. Provide general assistance to the Practice team and project a positive and friendly image to patients and visitors. Duties and Responsibilities: Day to Day tasks: Provide a first point of contact for patients and act as a key focal point of communication between patients, doctors, nurses, and other staff.
Liaise with multidisciplinary team members and external agencies such as secondary care and community service providers. Deal with all general queries, explain procedures and book appointments, face to face and over the telephone. Distribute information, messages and enquires to rest of the multidisciplinary team. Process all administrative tasks to the highest quality standards.
Receive and make telephone calls as required in a timely and courteous manner. Enter requests for home visits ensuring careful recording of all the details. Prepare the reception area in the morning or evening and keep the reception area tidy. Open the surgery or close the surgery.
Enter patient information and book appointments on to the computer system. Log scripts that are signed and to be distributed to Pharmacies. Frank the mail. Complete patient tasks.
Occasional tasks: Prepare clinical rooms and keep them stocked. Print prescriptions when the Prescription Clerk is on leave. Explain the practice arrangements and requirements for new patients to register with the practice. Keep reception notice boards up to date.
Reception Filing. Deductions and Acceptances. Ensure stocks of reception documentation for patients are kept well stocked. Administration for Baby Immunisation Clinics/Coil clinics/Minor ops clinics/Open Exeter.
