Job description
We are looking for an enthusiastic and dedicated Receptionist to join our team based in the heart of Glasgow City Centre. This exciting opportunity will see you become a gatekeeper whilst liaising with senior management and potentially getting involved with projects.
You will have daily interaction with internal and external clients and as such will need to have superb communication skills. Your organisational skills will be put to the test; but that's ok as you're a dedicated, highly efficient and confident communicator with the ability to prioritize.

What you can expect:
- The main duty will be to assist with general office duties e.g. managing the office reception - answering the phone switchboard, managing incoming and outgoing mail, photocopying and scanning of documents
- You will assist the office MD in managing their electronic diary, assessing priority of appointments and reallocation as necessary.
- An element of the role will be events planning and management. You’ll need to have a dynamic approach and a keen appetite for covering all angles; as well as the needs and wants of others.
- Acting as a strong gate-keeper and first point of call so a strong telephone manner with proven resilience is critical.
- Organising overseas travel and visa applications and assist with the preparation of client / visitor itineraries, entertainment, travel and accommodation as required. Your attention to every detail will be a priority.
- Maintaining records of direct report records such as objectives, dominant priorities, market security and Business Continuity Plans. It's a diverse and varied role that will allow you to develop your broad range of existing skills. We'd love for you to learn some new ones too.
- You provide support for an extensive range of meetings. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and following them up.
- Support in preparing information e.g. presentations, reports
Skills and experience we're looking for:
- Set up of video/audio/tele conferencing as required and managing office stationery and supplies.
- You are a polished, calm and patient Receptionist/PA with a can do attitude who has experience supporting at a senior level.
- You have strong secretarial skills (i.e. audio experience, good spelling/ grammar, etc.)
- Your flexibility with the occasional late night if needs be and flexibility when your manager is travelling will be appreciated.
- Educated to A-Level standard or equivalent is desirable and the able to demonstrate a high degree of personal organisation and self-management.
- You're most comfortable when working to tight deadlines, turning work around within a short time span and able to react to change at short notice.
- Excellent interpersonal skills, able to embrace diplomacy, tact and empathy at all times. You can manage complex and highly confidential information, a real problem-solver with excellent MS office proficiency.
