THE GIG

To ensure a professionally run front of house service, whilst proactively contributing to a positive office experience in our Cobbs Lane office that reflects our brand and culture.

Our Receptionist will provide a memorable first impression whilst ensuring that all front of house duties as well as the day-to-day office needs of staff and visitors are met to the highest standards.

Due to the nature of the role, we would need you to be in our Cobbs Lane office 5 days a week.

As our Receptionist, you will be responsible for:

  • Providing excellent customer service for clients and visitors; managing the main phone switchboard and when diverted; some calls from our Head Office in Camden.
  • Welcoming and managing the visitor, staff and contractor experience and staying on top of day-to-day office needs.
  • Ensuring enquiries are promptly responded to – face to face, via email and MS Teams; ensuring a high-level experience is achieved.
  • Supporting the local Workplace team with managing contractor access and queries for Facilities related call outs.
  • Being the point of contact for contractors on site, assisting, and signing off work, issuing and managing office keys/access; ensuring you communicate issues and changes to wider Workplace team.
  • Taking ownership of all IN/OUT post, deliveries, collections, taxis, couriers, department archiving; including boxing and labelling documents and/or boxes.
  • Managing office supplies for all Wollaston sites.
  • Assisting local teams and visitors by coordinating meeting room bookings and refreshments.
  • Maintaining office security and access systems; ensuring records are up to date.
  • Supporting new starters and maintenance of records; ensuring health and safety and compliance in office procedures.
  • Management of the company pool car, keeping data a log of users.
  • Welcoming new starters and visitors, ensuring they are signed in correctly; Health and Safety inducted and issued the correct access cards. Assisting with staff introductions and office tours when/if required.
  • Updating Contractor emergency lists, support the Workplace team with contractor vetting, ensuring permits to work are agreed and signed before works take place.

It goes without saying that everyone at Dr. Martens is part of a team. Everyone is expected to take on other duties as needed to respond to the needs of the business.

THE STUFF THAT SETS YOU APART

Put simply, for this role the key things we’re looking for are:

  • Experience in a similar role working in a busy, client facing reception and or office (100+ people).
  • Health and Safety trained (First aid and Fire Marshall) is desirable but not essential. Must be willing to undertake training.
  • Proficient in using Microsoft products (Word, Excel, PowerPoint)
  • Experience in exceptional customer service, ensuring every interaction leaves a positive impact.
  • An analytical approach and quick thinking to keep operations smooth.
  • Highly organised individual with the ability to manage multiple workloads.
  • A clear and open communicator, with strong relationship building skills.
