POSITION OVERVIEW
We are looking to appoint a competent and an experienced Receptionist/PA who is articulate, professional and is happy to pitch in and get involved in other areas of the business. As a Receptionist/PA, you will be able to multitask and prioritise tasks with a can-do attitude!
MAIN DUTIES
The major responsibility enlisted, but not limited to;
· Managing phone calls- Answering and directing calls
· Welcoming visitors and clients.
· Receiving, sorting, and distributing the post.
· Working closely with director assisting him in admin and other ad hoc duties
· Diary management for Director, using own initiative to arrange meetings.
· Ensure all verbal and written correspondence is accurate and timely for members and Clients on the behalf of Director
· Take dictation and minutes, Email management and Proofreading documents on the behalf of Director.
· Carrying administrative duties such as filing, typing, copying, binding, scanning etc.
· Working closely with the Team as and when required as and when required.
· Booking video calls and meeting rooms and arranging lunch and refreshments if required.
· Drafting and typing confidential matters for Director.
· Ensure general office tidiness and cleanliness to ensure it is welcoming at all times
· Coordinating repairs to office equipment (telephone system and other office equipment)
· Monitoring stationary levels, ordering office supplies and refreshment.
· Arranging for catering for meetings and daily office use.
· Responsible for opening and closing the office.
· Making sure office is neat and tidy.
· Keeping basic office supplies stocked and Ordering supplies for the office.
REQUIREMENTS
· Prior experience as a receptionist or in a related field.
· Consistent, professional dress, and manner.
· Excellent written and verbal communication skills.
· Competency in Microsoft applications including Word, Excel, and Outlook.
· Good time management skills.
· Experience with administrative and clerical procedures.
