CASES is seeking a Receptionist for our Harlem Office which serves our Alternative to Incarceration (ATI) programs for youth and adults, our programs supporting youth on probation, our mentoring programs, and our administrative teams. The Receptionist will report to the Facilities Director in Harlem. The objective of this role is to provide administrative support to the program. This position will be stationed at the front desk; work hours are 9am-5pm.
While this is an administrative position, we function as a team and all staff members work to support our mission with our participants. All program staff interact with our participants. Team members will believe meaningful change is possible, participant voice is critical for effective services and people thrive in safe spaces. This position offers an opportunity to gain program administrative experience, as well as broad exposure to youth development and behavioral health programming within a non-profit organization that is a leading provider of services to people involved with the criminal legal systems.
We believe that in-person operations are the best way to serve our clients, both directly and through essential operational support. This job requires work in our offices and/or the community.

Receive and screen telephone calls and answer program inquiries via phone, email or mail- Provide triage support and direct assistance to program participants as needed;
- As assigned by the Team Leader, assist with the scheduled system of appointment reminders, to help ensure participants receive timely notification of upcoming supervision contacts and court appearances;
- Perform data entry to enroll participants in Supervised Release, including legal information, demographic information, enter appointment attendance and other program information into the database as needed, ensuring accuracy;
- Enter participant data into the database including pretrial supervision track, compliance with supervision appointments, re-arrest information, and case outcomes;
- Complete and prepare for submission compliance documentation needed for the District Attorney’s Alternative Sentencing Office, judges, and the Criminal and Supreme Court Compliance and All-Purpose Parts;
- Run demographic reports and retrieve other program data from databases for reporting purposes using excel pivot tables;
- Complete database quality assurance audits to ensure program data is entered according to program standards and timeliness;
- Generate program data needed for monthly billing reports and ensure its accuracy;
- Act as program petty cash custodian and manage petty cash accounts;
- Assist with program operational logistics as needed;
- Complete re-arrest checks using the CRIMS system and provide quarterly data to Strategic Planning and Analysis unit;
- Provide specific administrative and program support to other members of Supervised Release supervisory staff as needed, including scheduling meetings, assisting in set-up and preparation for special events, literature search, photocopying and compiling materials;
- Provide culturally competent services in accordance with CASES policies and practice, and
- Complete any other duties as required by the Program Director and supervisory staff.
- Bachelor’s degree or high school degree/ HSE with relevant experience providing administrative support
- Demonstrated ability to function effectively in a fast-paced environment
- Highly organized with attention to detail
- Excellent writing and oral communication skills, including excellent phone demeanor and communication skills with program participants, criminal justice partners and staff
- Excellent diplomacy, poise and social skills to interact with individuals facing such needs as trauma, mental health, substance use, and homelessness
- Must maintain confidentiality and have the ability to exercise a high level of judgment/discretion
- Ability to create and maintain well-organized administrative and operational systems
- Knowledge of the criminal/juvenile legal system or youth development a plus
- Spanish speaking a plus.
