Responsibilities:
1. Front Desk Operations: Greet patients, visitors, and healthcare professionals in a warm and professional manner. Register patients, verify personal and insurance information, and maintain accurate records in the practice management system. Schedule appointments, coordinate referrals, and manage incoming calls.
2. Patient Assistance: Provide friendly and helpful assistance to patients, addressing their inquiries, scheduling appointments, and providing general information about the practice's services, policies, and procedures. Offer support and empathy to patients during their visit, ensuring a positive and welcoming environment.
3. Administrative Support: Assist with various administrative tasks, such as managing patient records, filing, scanning, and ensuring documentation is accurate and up to date. Process incoming and outgoing correspondence, including emails, letters, and faxes, ensuring timely delivery to the appropriate personnel.
4. Appointment Management: Coordinate appointment schedules, ensuring efficient allocation of resources and minimizing patient wait times. Monitor and manage cancellations, rescheduling, and urgent appointment requests, demonstrating flexibility and adaptability in a dynamic healthcare setting.
5. Collaboration: Work closely with the GP practice team, including doctors, nurses, and other support staff, fostering effective communication and teamwork. Liaise with healthcare professionals to relay messages, obtain necessary information, and facilitate patient care.
6. Confidentiality and Data Protection: Adhere to strict confidentiality guidelines and maintain patient privacy in compliance with legal and regulatory requirements. Ensure proper handling, storage, and disposal of sensitive patient information.
7. Problem Solving: Resolve patient complaints or concerns promptly and professionally, escalating complex issues to the appropriate personnel when necessary. Use your judgment and resourcefulness to address patient needs effectively.
8. Quality Assurance: Contribute to quality improvement initiatives within the GP practice, participating in audits, maintaining accurate data records, and implementing process enhancements to optimize patient care and practice efficiency.
Requirements:
- Proven experience as a GP Receptionist or in a similar administrative role within a healthcare setting. (EMIS experience desirable!)
- Excellent interpersonal and communication skills, with the ability to interact effectively with diverse individuals, including patients, healthcare professionals, and colleagues.
- Strong organizational skills, attention to detail, and the ability to multitask in a busy environment.
- Proficient computer skills, including experience with practice management software and Microsoft Office applications.
- Knowledge of medical terminology, appointment scheduling, and administrative procedures in a GP practice.
- Empathy, compassion, and a customer service-oriented approach to patient care.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and work schedules, including occasional evenings or weekends.
- Understanding of health and safety regulations and compliance within a healthcare setting.
