Job description

We are looking for an experienced full-time Receptionist / Admin support to join our busy law firm in West Hampstead. You will be expected to provide efficient and effective front of house support and excellent customer service to both external and internal clients. As this is a customer focus role, it is essential that you have an exceptional telephone manner, very good communication skills and the initiative to deal with problems as they arise. You will be the first point of contact for clients and so you must have the confidence and dynamism to deal with them.

Duties will include (but not be limited to):
- Front line reception service ensuring confidentiality and courtesy at all times
- Answer the telephone
- Take messages & pass to the relevant people
- Deal with general enquiries
- Ensure all visitors are greeted in a warm & friendly manner
- Deal with incoming and outgoing post, deliveries and couriers / going to the post office
- Undertaking any additional ad-hoc administrative tasks including typing letters, reports and professional documents as and when required to support the wider team.

- Managing the reception area and meeting rooms, ensuring they are always well maintained

- Filing, faxing, photocopying
- Picking up the DX mail in the morning from the DX office (short 10 minute walk from office) and leaving the DX mail at the DX office in the afternoon.

- Processing and archiving documents and paperwork, and updating information on internal CRM systems and databases.

- Client on-boarding, maintaining client databases using software packages and disbursement management

The ideal candidate will have:
- Receptionist experience
- Administration experience
- Good communication skills (both verbal & written)
- Good IT skills including Word & Excel
- Legal experience is an advantage, but not essential.

*Salary will be revised annually based on the employee's performance.

This is a full-time position based onsite in our West Hampstead office, paying up to £20,000 p.a. You will be working Monday – Friday between the hours of 09:30 – 17:30.
