Job description
POSITION SUMMARY
As a Reception and Post Room Administrator you will provide a friendly front-of-house environment. The successful person will be polite, personable, and well presented, and discrete when dealing with clients, customers and colleagues.
KEY RESPONSIBILITIES
- Greet internal and external guests, making sure they sign in and are made aware of evacuation procedures
- Responsible for managing a busy switchboard, answering and directing calls to correct departments whilst keeping the reception area clear and tidy
- Booking meeting rooms for internal and external meetings, demonstrations and on occasions arranging catering, travel arrangements as and where required
- General administration including, scanning of confidential documents, ordering stationery, creating ID badges for employees and/or delegates, keep job log spreadsheet up to date
- Opening and distributing post, deliveries are to be logged and relevant department, person notified
- Log cheques and send out to the back via recorded delivery
- Take in anyAdhere to health and safety procedures at all times
- Responsible for documenting and recording all petty cash and receipts
- Outgoing post to be franked, Parcels to be sent via our inhouse UPS system or Bybox
- Arranging collection of chemicals from customers via UPS, and sending out chemicals
- Ensuring reception is covered during lunch breaks
- Any other ad hoc duties as and when required
KNOWLEDGE, EXPERIENCE & SKILLS REQUIRED
- Previous reception, administration and post room experience essential
- Excellent verbal and written communication skills essential
- Strong organisational skills and a keen eye for detail
- A good basic understanding of Word, Excel and Outlook and keyboard skills.
- The ability to work autonomously
