Working Hours: 8am- 4pm or 10am- 6pm. Occasionally weekend and out of hours work when required to meet company deadlines and to help with the running of events. To be arranged and agreed with the Facilities Manager
Role Description
An opportunity has arisen to join the Facilities Management team at the world’s leading music and entertainment business on a permanent contract. The main purpose of the role is to work in parallel with the reception manager and to fully support with all business critical projects, soft services while providing a 5 star customer service to Live Nation staff.

What the role includes
- Helping and working with the reception manager with day to day and ad-hoc tasks/duties
- Set objectives and be responsible for the day to day running of the reception
- Assess employee performance and recognise training needs and potential as appropiate
- You will assist the Reception Manager on the running of the FOH service, as well as stepping In on Facilities duties In the absence of the Reception Manager
- Overall day to day responsibility of the upkeep of key areas i.e: Bar, Meeting rooms
- Responsible of keeping the Reception area clear of all incoming & outgoing Items
- General office and reception duties - answering phones and forwarding calls in a timely manner, emails, greeting visitors
- To carry out duties In accordance with Instructions by the Reception Manager
- Taking staff photos, setting up and issuing security cards
- Keeping a log of temporary user cards for contractors and visitors
- Uploading staff photos to the intranet
- Maintaining the visitor and maintenance log via envoy
- Provide refreshments for external/internal and board meetings.
- Set up catering for meeting room bookings working alongside the facilities
- To ensure the smooth transition of calls from the main switchboard to the relevant people/department and dealing with general enquiries, including customer service enquiries for tours and festivals
- Booking meeting rooms as and when required
- Meeting and greeting clients in a warm and friendly manner
- Ensuring clients receive VIP treatment
- To undertake general administrative duties as required
- Booking of taxis for staff and visitors
- Maintain and monitor stock levels around the building i.e stationery
- Check the photocopier areas to ensure they are clear, tidy and free from paper recycling
- Issue passes to vendors and contractors and make sure they return accordingly and on time
Shared Responsibilities
- Incoming/outgoing post, couriers, deliveries etc shared responsibility with receptionist/Postroom Assistant as and when required.
- Work alongside the reception manager to ensure all internal/external onsite events/meetings run safely and smoothly to a high standard
